Overview



Job Title: Office Administrator

FUNCTION:

The Office Administrator currently oversees all administrative functions remotely, responding to them in an efficient and timely way. In the not-too-distant future, this job will return to a classic office situation, which will require in-office work.

PLACEMENT:

This position is currently a part-time (12-15 hours/week) at $20/hr, normally scheduled from Tuesday to Friday. The Board in collaboration with staff will determine who serves in this role and the hours required.

QUALIFICATIONS:

Two years of secretarial/office administration experience or an equivalent combination of education and experience Spirit-filled Christian, loves to serve, neat in appearance, & cheerful personality Excellent organizational skills, the ability to plan, prioritize, and manage multiple tasks Self-motivated, able to follow through independently on assigned tasks Functions effectively and cooperatively in a team environment Excellent people skills and welcoming manner, whether communicating by phone or in person Effective written communication skills Good computer skills - (Online Apps - Google Workspace, Canva, Affinity Designer, MailChimp, WordPress for website maintenance, Worship Tools service organization platform, Instagram, Facebook, and YouTube ) Able to maintain confidentiality and a positive workplace attitude Presents a professional approach to the job

RESPONSIBILITIES & DUTIES:

A. General



Support the pastoral staff, offering assistance as needed within the hours available. Support/assist the Church Board, Board Chair, or Church Committees as needed within the hours available. Attend weekly church services as a part of the congregation Encourage and pray for the church. Due to the nature of congregational life, this position requires some flexibility, both in terms of assigned tasks as well as work schedule. Where possible, the administrator should delegate tasks to the appropriate ministry leader and/or volunteers. Participate in weekly staff meetings.

B. Office Administration



Weekly Tasks:

Assure the efficient daily functioning of the church office Assist the staff with scheduling appointments and congregational events Maintain events calendar through the website, including communication, bookings, and promotion Maintain Worship Tools order of service and scheduling for Sunday services Prepare Presenter presentations and assist worship teams and speakers as needed for Sunday services Create graphics using Canva for service slides, monthly flyers, special services, and weekly newsletters Post weekly YouTube recordings and make routine updates and changes to the church website Prepare all necessary documents for congregational services and meetings as needed Answer and respond to the church's cellphone and email Post to Instagram and Facebook weekly using Canva to create graphics Support staff in creating Tuesday emails using Mailchimp Handle incoming and outgoing mail deliveries
Monthly/Yearly Tasks:

Prepare monthly church bulletins and maintain the church calendar Procure all office supplies and oversee equipment leases and service contracts Maintain all official church records: board minutes, church membership database, insurance policies, equipment files, and personnel files Prepare annual/congregational meeting reports File denominational reports as required Maintain regular backup of all church files and keep a secure copy off-site Any financial items & receipts that come to the office or office email are forwarded to the bookkeeper Keep the office manual updated with passwords and task procedures Prepare church certificates and maintain official church records
