Position Overview
We are seeking a highly organized and dependable Office Administrator to support the day-to-day operations of our office. The ideal candidate is a motivated self-starter who thrives in a dynamic environment, demonstrates excellent communication skills, and has a keen eye for detail. Key Responsibilities
Oversee daily office operations to ensure efficiency and effectiveness
Greet visitors and manage incoming calls and inquiries
Schedule and dispatch service calls to Technicians
Upkeep dispatching board with the most up to date information
Handle administrative tasks including email correspondence, document preparation, data entry, and mail distribution
Support billing processes: generate and send invoices, manage client databases, and track accounts using Quick Books Software
Maintain accurate and secure client records, including processing credit card transactions and pre-authorizations
Oversee inventory and parts control
Manage office facilities including supply orders, repairs, and vendor relationships
Coordinate internal meetings and support communication across the team
Serve as the central point of contact for staff, clients, and building management
Ensure the office environment is clean, stocked, and organized
Qualifications & Skills
Proven experience in office administration
Proficiency in Microsoft Office (Word, Excel, Outlook)
Experience with QuickBooks (or similar accounting software)
Strong verbal and written communication skills
Excellent time management and multitasking abilities
Ability to work both independently and collaboratively
Discretion in handling confidential information
High level of professionalism and interpersonal skills
Experience in inventory control and budget tracking is an asset
High school diploma or college certificate/diploma (or equivalent)
