KEY RESPONSIBILITIES * General Office Administration:
  • Perform clerical duties such as word processing, email correspondence, and maintaining filing and record systems.
  • Manage office supplies, handle mail, schedule appointments, and coordinate meetings.
  • Maintain office organization and ensure smooth office operations.
  • Prepare marketing material in advance for upcoming events including in-house advertising, print, Facebook, and the web.
Data Entry and Database Management:
  • Accurately enter and maintain data in various systems.
  • Ensure data integrity and confidentiality.
  • Work with management to update and maintain information on the intranet.
Customer Service:
  • Handle customer inquiries and complaints professionally over the phone and email.
  • Provide exceptional service to both internal and external customers.
Team Support:
  • Support multiple departments including dispatch, reservations, and accounting.
  • Assist with Microsoft Teams and other collaboration tools.
  • Provide administrative support as required to various teams.
Bookkeeping and Payroll:
  • Assist with basic bookkeeping tasks such as pulling hours and entering them into Payworks.
  • Handle payroll data entry and ensure timely processing.
Training and Documentation:
  • Provide training to new staff and support ongoing development initiatives.
  • Create and update manuals and reference materials for training purposes.
  • Assist with the creation of training materials and ensure accuracy of processes and procedures.
Additional Duties:
  • Assist with reporting, planning, and other general administrative duties as required.
  • Maintain good customer relations and assist with additional tasks as needed.
YOUR QUALIFICATIONS
  • 2+ years of experience owning your role as an Office Administrator or Administrative Assistant.
  • High school diploma required; a bachelor\xe2\x80\x99s degree or a diploma in Office Administration, Business, or a related field is an asset.
  • Confident in navigating Microsoft Office (Word, Excel, PowerPoint) applications, Teams, Outlook, and Payworks.
  • Vibrant and welcoming demeanor to deliver outstanding customer service to clients.
  • Outstanding organization and time-management skills to thrive in fast-paced work environments.
  • Exceptional written and verbal communication skills to liaise with clients, staff, and stakeholders.
  • Strong attention to detail to deliver accurate and high-quality work every single time.
  • Resourceful and adaptable problem-solver that implements feedback quickly and effectively.
NICE TO HAVE
  • Previous experience working in the transportation industry.
  • Basic financial understanding of payroll using QuickBooks is considered a bonus.
  • Exposure to HR, recruitment and employee relations is a great asset to bring to the table.
  • Experience managing relationships with private clientele is considered an asset.
