Responsibilities




Supervise and lead a team of up to 5 administrative staff members, ensuring efficient workflow and high-quality performance. Liaise with the Regional Office Manager to establish administrative procedures Ensure clerical needs are fulfilled, sick/vacation coverage needs are met Assist leadership with preparing slides, catering and setting up regular partner meetings, travel arrangements, meeting bookings and preparation, and event planning as needed Train and support employees on MNP systems and methodologies Maintain office safety and security, an active member of the Health and Safety Committee assisting with office emergency procedures and fire warden duties Assist with financial transactions and expense management in accordance with company procedures Point of contact for team members for various inquiries and direct as appropriate Various office functions such as office communication/updates, opening timesheets, client transfers, WIP transfers Possess working knowledge of all systems used by the Administration team to assist with any inquiries and provide backup, as needed Assist with organization of physical office space on all floors, updating Floor Plans/Seating Review, modify and prepare moderately complex templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/data Contribute to the development of new ideas and approaches to improve work processes Provide support to practice inspection teams with regards to logistics as well as gathering of information Coordinate with property manager relating to building maintenance and cleanliness Maintain electronic and paper filing systems Maintain flexibility to work overtime, as necessary

Skills and Experience




5+ years of increasingly complex administrative responsibilities Minimum of 2 years of experience in a supervisory role, managing administrative teams and acting as a performance coach. Experience in a professional services environment is considered an asset Post-secondary education in business administration is considered an asset Business related courses and bookkeeping experience would be considered an asset Strong skills with Microsoft Office Suite Strong communication skills Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously Strong client service focus in dealing with both external and internal clients
