Wage: $21 - $23 hourly

Who is the Rockton Agricultural Society?



For over 170 years, the Rockton Agricultural Society and its members have encouraged an awareness of agriculture and rural living and promoting improvements in the quality of life of persons living in our agricultural community.

As a Society we raise awareness through agricultural education and entertainment, which includes our signature annual Rockton World's Fair, held each year on Thanksgiving weekend.

Position Summary:



The Rockton Agricultural Society is seeking an Office Administrative Assistant to provide exceptional customer service to society members, exhibitors, vendors & partners. This position will oversee administrative functions related to coordinating the annual Fair exhibitor book & ribbons required for the Fair. Manage the Assist Expo data base, coordinate vendor applications and bookings and support various administrative needs of the Society.

Key Responsibilities:



World's Fair Administration (Fair Exhibits, Awards, Judging results & Member records):



Engage all Fair Committees to effectively maintain information within Assist Expo, such as: Competition rules, categories, sponsorship, awards, judges, committee information, etc. Address any content discrepancies, missing information or concerns. Act as the Society's direct contact for Committees and Exhibitors to assist with any questions or concerns with Assist Expo. Conduct reviews of the Fair book drafts, and supporting printing timelines and delivery. Co-design, edit and finalize the annual prize books, including School Fair. Engage the Committees to identify Fair award, ribbon requirements. Maintain the ribbon inventory and order the required ribbons, special banners. Organize by Committee, all ribbons and banners for Fair. Coordinate needs for daily livestock shows (ribbons, judging sheet). Maintain a strong understanding of all Fair competition timelines to prepare all judging information. Competition categories, judging sheets, ribbons, etc. Gather competition outcomes from each Committee and input all results into Assist Expo. Work with General Manager to facilitate timely prize payments following Fair. Maintain a strong knowledge of Assist Expo, including any application updates. Maintain Society membership information and data within Assist Expo, to support Society records.

General Administration:



Respond to member and public inquiries in-person, by email and/or over the phone. Greet visitors and support inquiries regarding the Society, events and facilities. Preserve a general knowledge of the property and buildings to support maintenance needs. Maintain the office's cleanliness and order, including the boardroom, and storage areas. Support the set-up and coordination of various Society events.

Coordinate Vendor Applications:



Manage vendor enquiries through email and/or website for all Society hosted events. Prepare vendor applications to present to committees for final selection. Invoice, collect payment & insurance. Provide guidance leading up to the event and on set up day.

Qualifications:



Strong communication skills both written and verbal. Display a positive, can-do attitude. Knowledge of general office programs (Microsoft). Strong knowledge of Assist Expo application. Strong customer service skills and experience working in an environment balancing many demands. Ability to manage deadlines and information requests dependent on numerous committees and individuals, detail oriented & organized. Familiar with agricultural societies an asset.

Additional Requirements:



Access to a personal vehicle and valid driver's license Ability to life up to 50 lbs Work safely, identify and report any health and safety concerns. Must provide a current criminal record and judicial matters check or willingness to obtain at own cost Must have current Standard First Aid and CPR certificate or willingness to obtain prior to starting position

HOURS:



40 hours per week, typically Monday to Friday Weekends as required Additional hours will be required to support Society meetings and events throughout the year In this position, during Thanksgiving weekend, you are required to be available for Friday to Thanksgiving Monday, days and evenings, each year

COMPENSATION:



$21 - $23 Hourly, with 3 weeks paid vacation time
