Distribution Coordinator / Administrative Assistant



This position is intended to head up the Distribution Department:

The successful applicant will assist with:

maintenance of Outlook email addresses (large database, well organized) and phone lists (Excel)

website assistance/data entry

creating notices in Microsoft Word with direction from managers

printing, mailing and emailing official documents

the ability to proofread email and ensure they are friendly, professional and brief

the ability to blind cc email as required (compliance with Privacy Act)

mailing time sensitive documents following lists and instructions to ensure compliance with regulations

using and logging items through a postage machine and work sheets

creating envelopes, labels etc. from existing lists for mailing documents

preparation and completion of documents to be delivered, whether via email, on our website, or to the building site

pick up and delivery of keys, cheques, minutes, notices and accounting information, programming enterphones for various points of contact within the strata buildings we manage from time to time

managing keys and confidential documents

preparation for meetings

completing task list items

filing, copying, scanning

you must have accuracy and adhere to confidentiality laws

website assistance

Assist reception:

with provision of keys to contractors, with the support of other staff (requires training but comes shortly as the same keys are used to access buildings for delivery)

with filing, copying, scanning

Assist company owners with:

filing, scanning, etc.

some general cleaning, garbage removal, recycling and dusting when time allows

Note: Accent has launched a website that will reduce some deliveries and increase website management.

This position will require an

organized

, good natured individual who is presentable, with excellent communication skills, and the ability to multi-task using their ability to organize and use the required software to achieve timely results. This individual will need to be patient and assertive in getting information from various individuals, using excellent listening skills and common sense. The individual will meet some home owners and strata council members in the course of their coming and going from buildings.

The approved applicant will need training in all aspects of the position, but must come to the table with a genuine aptitude for Microsoft Outlook, excellent English skills, and excellent typing skills; a healthy working knowledge in Microsoft Word, Excel, Outlook, and Adobe Acrobat. No bookkeeping is required at this time. There will be limited supervision ultimately, however, there will be extensive support and training provided at the outset. Strata management is a very specialized service, and we anticipate it will take several weeks to become knowledgeable with the work required. The candidate must be proficient with Microsoft Word, Outlook, and Adobe Acrobat and have a substantial ability to type,

The candidate will have a computer provided to them and have access to copiers, fax machines, postage machines, etc.
