Job Summary


We are seeking a highly organized and detail-oriented Office Administrator to support daily operations within our professional environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. This role is essential in ensuring smooth office functions, providing exceptional customer service, and maintaining accurate records. Experience with medical or dental offices, bookkeeping, and phone systems will be considered a plus.

Duties



Manage front desk operations, including greeting visitors and handling phone systems with professionalism and courtesy Perform data entry tasks accurately using Microsoft Office, and QuickBooks. We have a therapist digital file system (which we will train on) Maintain filing systems--both electronic and paper--to ensure easy retrieval of documents Assist with appointment scheduling, confirmations, and cancellations for clients or patients Support bookkeeping activities such as invoicing, billing, and record reconciliation Provide excellent customer support via phone, email, or in person, demonstrating strong phone etiquette and customer service skills Proofread correspondence and documents for accuracy and clarity Support administrative tasks including photocopying, scanning, and organizing office supplies Collaborate with team members to ensure efficient office workflow and communication

Requirements



Proven experience in an administrative or clerical role; experience in medical or dental office settings is preferred Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks Strong computer skills with the ability to learn new software quickly Excellent organizational skills with attention to detail and accuracy in data entry and record keeping Ability to manage phone systems and demonstrate professional phone etiquette Demonstrated customer service skills with a friendly demeanor and effective communication abilities Strong typing skills with high accuracy; ability to handle multiple tasks efficiently under deadlines Previous experience in bookkeeping or medical/dental office support is a plus High school diploma or equivalent required; additional administrative training or certification is advantageous
Job Type: Full-time

Pay: $20.00-$25.00 per hour

Expected hours: 40 per week
