Responsabilites principales
Assurer la gestion administrative quotidienne du bureau
Repondre aux appels entrants et aux demandes des clients
Planifier et coordonner les rendez-vous et appels de service
Gerer l'horaire des techniciens et maintenir le calendrier a jour
Preparer, organiser et suivre les dossiers de projets, soumissions et rapports de service
Traiter les factures, paiements et rapports financiers a l'aide de QuickBooks
Effectuer la saisie de donnees, le classement, la numerisation et la gestion documentaire (Word, Excel, Outlook)
Maintenir une communication fluide entre les techniciens sur le terrain et les clients
Assurer un haut niveau de confidentialite, de rigueur et de professionnalisme
Qualifications requises
Experience en administration, idealement dans un environnement technique ou de services (securite, electricite, construction, etc.)
Excellente maitrise de QuickBooks et de Microsoft Office
Bilinguisme francais/anglais requis (oral et ecrit)
Sens aigu de l'organisation, autonomie et capacite a gerer plusieurs priorites
Diplome d'etudes secondaires requis; formation en administration de bureau consideree comme un atout

The successful candidate will play a central role in coordinating service calls, managing client communications, and ensuring administrative tasks are completed efficiently. This position is ideal for someone who is detail-oriented, customer-focused, and comfortable working with
QuickBooks
and
Microsoft Office
in a fast-paced environment.
Key Responsibilities
Manage day-to-day office administrative operations
Answer incoming calls and respond to client inquiries
Schedule and coordinate service calls and appointments
Organize technician schedules and maintain the office calendar
Prepare, organize, and track project files, quotes, and service reports
Process invoices, payments, and financial reports using QuickBooks
Perform data entry, filing, scanning, and document management (Word, Excel, Outlook)
Maintain clear communication with field technicians and clients
Uphold high standards of confidentiality, accuracy, and professionalism
Required Qualifications
Previous administrative experience, preferably in a technical or service-based industry (security, electrical, construction, etc.)
Strong proficiency in QuickBooks and Microsoft Office
Excellent bilingual communication skills (French and English required)
Strong organizational skills with the ability to manage multiple priorities independently
High school diploma or equivalent; office administration training is an asset
