Position Summary
As a Nursing Administrative Assistant, you will provide clerical and administrative support to the Care Department while serving as a professional front-desk representative to residents, families, and visitors. You will assist with staff scheduling, shift replacements, office organization, and coordination of part-time Nursing Administrative Assistants. Reporting to the Director of Care, you will ensure the efficient operation of administrative processes and promote a warm, resident-focused environment.
Key Responsibilities
Accurately prepare and maintain staff schedules in adherence with the Collective Agreement and departmental guidelines
Coordinate shift replacements, demonstrating professionalism and courtesy when handling staff call-ins
Serve as the first point of contact for residents, families, and guests at the reception desk, providing excellent customer service
Respond promptly to resident and family concerns, escalating issues to management as appropriate
Provide administrative support to the Director of Care, Assistant Director of Care, and Office Manager
Communicate effectively with team members and other departments to support a collaborative work environment
Maintain a clean, safe, and organized front-desk and office area, adhering to all health and safety protocols including IPAC
Participate in departmental meetings, in-services, and ongoing training opportunities
Qualifications
College diploma in Business or equivalent education/experience
Strong interpersonal, communication, and customer service skills
Ability to work efficiently in a fast-paced environment with frequent interruptions
Sound judgment, dependability, and a good record of attendance
Proficiency with computers and office software; typing speed of 50 wpm required
Knowledge of PointClickCare is an asset
Ability to work various shifts, including evenings, weekends, and holidays
Willingness to learn and upgrade skills on an ongoing basis
