North American Payroll Coordinator (U.S. Multi-State Payroll - Complex Variable Pay

The Opportunity



We are seeking a highly detail-oriented

North American Payroll Coordinator

to independently manage the

day-to-day execution of a U.S.-heavy, multi-state payroll environment

with complex variable pay.

This role is primarily responsible for U.S. payroll across 35+ states

, with Canadian payroll as a secondary responsibility. You will own the accuracy, timeliness, and integrity of weekly payroll processing based on non-standard, variable data inputs.

This is a hands-on execution role for someone who thrives in high-volume, deadline-driven payroll environments and is comfortable

flagging issues, pushing back on bad data, and driving corrections

Canada (GTA)

Must be legally eligible to work in Canada Availability to attend

GTA-based meetings as required


Compensation



$85,000 - $95,000 CAD

, commensurate with experience
(Role is suited to candidates who have owned U.S. multi-state payroll in high-volume environments.)

Key Requirements & Qualifications



5+ years of hands-on payroll processing experience using ADP (Workforce Now or similar)

Mandatory:

Direct, hands-on experience processing

U.S. multi-state payroll (35+ states)

Proven experience managing

complex variable pay

(service-based, piece-rate, or calculation from multiple source logs) Strong working knowledge of: U.S. payroll concepts (state taxes, W-2s, classifications) Canadian payroll compliance (CRA, T4s) as a secondary function Advanced Excel skills for data validation, reconciliation, and error detection Comfortable working independently under

non-negotiable weekly deadlines


Responsibilities (Execution-Focused)



Independently manage

weekly and bi-weekly U.S. payroll processing

across 35+ states Perform detailed pay calculations using multiple source documents and trackers Maintain and update ADP employee records for high-volume seasonal staff Identify discrepancies, errors, or upstream data issues and

clearly call for corrective action

Serve as first point of contact for employee pay inquiries, especially fluctuating earnings Partner with external Payroll Advisor on classification and compliance matters Maintain clean, audit-ready payroll records and documentation
