Here is what you will do

VitalAire is currently recruiting a motivated 12-months National Scheduler. The incumbent will plan, coordinate and schedule visits by Clinical Consultants, Client Service Technicians and Service Delivery Representatives.

  • Collaborate with the Care Center and Care Coordinator staff to confirm scheduled appointments with patients are completed and updated in the ERP system
  • Schedule and optimize the sequence of appointments to ensure efficiency and effectiveness are maintained, along with troubleshooting within geographical zones/routes.
  • Schedule appointments and follow up visits with patients and communicate details to the field service agents (Clinical Consultants, Client Service Technicians, Service Delivery Representatives).
  • Manage availability of field service agents and update in the ERP system.
  • Solve complex scheduling tasks in salesforce, fill gaps for the next day dispatching orders and review booking issues. Escalate technical/clinical challenges to inside clinical consultant/Manager
  • Consistent review and hand over sequences of Service Appointments for the next day to the field service team.
  • Evaluate results (KPI), identifies improvement opportunities to Area/Branch managers.
  • Receive emergency and non-emergency calls and record significant information and action them into the ERP system.
  • Address scheduling problems and requests by transmitting information or providing solutions to area/branch managers.
  • Monitor the route and status of service territory to coordinate and prioritize their schedule.
  • Provide clinical technicians and service delivery reps with information about orders, traffic, obstacles and requirements.
  • Enter data into the ERP system and maintain logs and records of calls, activities and other information.
Here is what you will need
  • College completed or combination of education and experience
  • 2 - 3 years of experience in a dispatcher/scheduler role using digital portal
  • Good understanding of salesforce is an asset
  • Excellent computer literacy with Gmail and Google Applications
  • Agreeing to disclose your COVID-19 vaccination status, as a condition of employment
  • Agreeing to be fully vaccinated against COVID-19 and to maintain such fully vaccinated status, as a condition of employment
