MPT Program Co-ordinator

Primary Purpose: The Program Co-ordinator will be responsible for the operations management of the Master of Physical Therapy (MPT) program and provide financial, administrative and leadership support to the Director of the School of Rehabilitation Science and MPT Academic Program leadership. This includes but is not limited to: strategic planning, scheduling, student services, accreditation, organizational structures, budgeting, and financial reporting. The Program Co-ordinator is a member of the SRS administrative team, delivering effective service to the MPT program with priorities in keeping with the MPT program and School of Rehabilitation Science\xe2\x80\x99s (SRS) strategic priorities.

Nature of Work: The Program Co-ordinator participates in strategic planning and implementation of major goals and objectives and serves as a resource regarding the day-to-day operations and the financial and administrative affairs of the MPT program. The Program Co-ordinator provides supervision and directs the work of other MPT Administrative staff in the operational, curricular, financial, administrative, and academic/personal support areas. The Program Co-ordinator works closely with students, faculty, and staff to ensure effective delivery of the MPT program. This includes the development, monitoring, and updating of financial and administrative policies, scheduling documents, procedures, and processes, recommending and implementing efficiencies to meet the school\xe2\x80\x99s goals and objectives, while ensuring that all activities, processes, procedures, and policies are compliant with university and college policies and procedures. The Program Co-ordinator is required to provide timely and innovative responses to continuous shifts in policy and direction as the College and MPT program and SRS adjust to ever-increasing demands on their resources. In providing various operational, financial and administrative services, the Program Co-ordinator exercises discretion and professional judgment in maintaining confidential information, and applies sound practices with a consistent, proactive and collaborative approach. The Program Co-ordinator reports to and works closely with the Director of the MPT program and academic faculty leadership to ensure consistency and alignment with accreditation standards. The MPT Program Co-ordinator demonstrates resiliency while working in an environment where there is ambiguity, continuous change and shifting priorities. Accountabilities: Strategic Planning and Priorities Responsibilities
  • Work with the MPT Director and the MPT Academic Leadership team to achieve the goals, objectives and strategic directions related to the SRS and MPT program in the College of Medicine. Participate in unit strategic planning ensuring that existing goals align with the university and college goals and contribute towards revenue enhancement, cost containment, maximizing academic performance, clinical service, and research productivity.
  • Manage activities and operations of the MPT program including developing and implementing strategies and processes to ensure policies and procedures are followed which include University of Saskatchewan, partners, and regulatory bodies.
  • Assist with annual accreditation reports and preparation of accreditation self-study reports and site visits
  • Collaborate with the SRS and other College of Medicine departments and units as required to ensure the educational mandate is achieved, including but not limited to accreditation, ensuring, and enhancing curriculum delivery, service and support to MPT students
Administrative Responsibilities
  • Effectively represent the MPT program and SRS in all contacts, ensuring the appropriate level of professionalism, tone and interest are projected, dealing with issues and concerns, solving, or referring problems as they arise.
  • Provide confidential, comprehensive, effective, and efficient MPT operations support
  • Initiate, implement, and support new or modified approaches, practices and processes in the MPT program operations and SRS.
  • Maintain a thorough understanding of accreditation standards to ensure adherence in day-to-day work and keep current with practices and issues
  • Ensure priorities and deadlines are met, and that correspondence is handled accurately, efficiently, professionally, and confidentially.
  • Oversee central administrative responsibilities such as filing (Jade), facilities (Office assignment/furniture), staff onboarding, equipment and logistics issues.
  • Assist MPT program/SRS in acquiring and utilizing information technology hardware and software that will provide maximum benefit in delivery of academic programs, research, and scholarly work
  • Oversee Administrative policies and ensures they align with university and college policies and process requirements.
  • Complete and be accountable for content in major reports such as Part-Time Teaching Support, Financial Reports, and Accreditation reports.
  • Develop solutions to improve current operations processes and maximize efficiency
  • Coordinate and/or assist with special projects as needed.
  • Serve as resource member for the Admissions, Executive Curriculum and MPT Executive Committees
  • Build a management culture based on teamwork, open communication, prudent risk taking, innovation, mentoring and accountability
Financial Responsibilities
  • Provide effective administration of the MPT program\xe2\x80\x99s financial resources; manage MPT program operating budget and other financial accounts.
  • Manage all purchase orders, invoices, cheque requisitions, P-card procurement, invoices, journal vouchers, etc. and all money transactions for the SRS MPT program.
  • Manage all administrative work required for part time teaching services, e.g. proposal of part time hours; collation of teaching hours; invoicing.
  • Provide oversight for payroll for PT students, honorariums, and guests
  • Collaborate with College of Medicine Manager and Financial unit regarding management of financial resources for the MPT Program
  • Manage capital equipment funds and ensure purchasing and other funding deadlines are met.
  • Prepare material needed to assist the Director with budget submissions related to the operations of the SRS MPT Program.
  • Manage budget allocations, revenues, and expenditures effectively.
  • Prepare budget reports for the Director, convey accurate information and data to ensure financially viable and sustainable decision-making and problem-solving
Human Resource Responsibilities
  • Collaborate with the Director and College of Medicine Manager to support part-time teaching and MPT administrative staff hiring.
  • Assist with on-boarding and off-boarding of MPT administrative staff and part-time teaching staff
  • Act as the people leader for MPT administrative staff, strategically managing administrative support, including regular performance reviews and oversight and assignment of work duties Identify needs and initiate ongoing training in program management, tools and processes for staff
Academic and Curricular Responsibilities
  • Keep current with practices and issues in graduate program management through professional networks with Deans, Associate Deans, and senior administrative staff at USask and other Canadian universities.
  • Provide oversight for the timely update of the Student Policies and Procedures on the SRS website
  • Support continuous quality improvement within the MPT program by facilitating quantitative and qualitative assessments of the program, providing oversight for the administration and analysis for Exit, Graduate and Employee feedback surveys and focus groups, in order to meet accreditation standards.
  • Serve as a resource member of the Executive Curriculum Committee, ensuring University of Saskatchewan and MPT policies are followed when initiating curricular change, and that updates and policies are communicated to team members. Assist staff and faculty with implementation of the changes.
Education: Completion of a Business Administration Diploma is recommended. A relevant university or master\xe2\x80\x99s degree is an asset (Public Policy, Commerce, Business). Completion of a Financial Management and/or Project Management course would be considered an asset. A combination of education and experience will be considered.

Experience: A minimum of two years of progressively responsible experience working in an academic or health-related clinical setting is required. Experience with financial processes, budgeting and payment processing is required. Experience with USask processes and functions, including human resources, payroll, budgeting, accounting and payment services, and information technology is preferred. Experience working in diverse and inclusive settings and effectively supervising others is preferred. Skills:
  • Proficiency in Microsoft Office programs, including Excel, and virtual platforms including Zoom and Teams is required;
  • Experience with University based programs (Banner, AboutUs, Unifi, PAWS, Connection Point) would be considered an asset
  • Strong organization and supervisory skills are required
  • Ability to work independently, as well as part of a team are essential.
  • Self-motivated with the ability to show initiative; work on multiple projects, in a diverse environment and to meet deadlines is essential
  • ability to problem-solve effectively in an independent manner with analytical skills is essential.
