The Medical Secretary is an integral part of the busy, dynamic and growing Reproductive Endocrinology and Infertility Program at Mount Sinai Fertility. In this role, you will be expected to exercise sound judgment and independence while managing the day-to-day related administrative activities. You will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of the program. This position will be based at Mount Sinai Fertility Downtown and Mississauga sites, and will be responsible for the following:
  • Provide all reception and clerical support for 2 physicians
  • Responsible for patient registration, appointment bookings and maintaining of Patient database
  • Enter patient information into billing system and prepare patient files/folders prior to patient visit
  • Manage new patient referrals on a timely basis
  • Responsible for all phone and email communications with patients including scheduling appointments, patient concerns, patient referrals
  • Coordination and scheduling of patient investigations and treatment in conjunction with other secretarial staff and nursing staff at the clinic
  • Coordinate OTN appointments and billings
  • Assist in coordination of divisional OR days for IVF physicians
  • Prepare and submit invoice to business office for IVF Sessions as necessary
  • Coordinate meetings, maintain physician schedule and type/edit minutes
  • Prepare travel reimbursements/cheque requests to Finance as necessary
  • Responsible for physician billing; input OHIP and non-OHIP/Third Party claims
  • Responsible for OHIP submissions and reconciliations and follow-up with outstanding claims (claims error reports)
  • Co-ordinate O.R. bookings for patients as well as Short-Stay and EOPS
  • Plays an active and supportive role in regards to physician\xe2\x80\x99s academic role and provides academic administrative support (maintaining CV and research activities)
  • Maintain records of academic certification and teaching dossier
  • Evaluation of daily mail and faxes and answering all incoming telephone inquiries.
  • Perform other related duties as assigned by physician and/or by Senior Medical Leads as required


Job Requirements
  • Postsecondary degree or Office Administration Diploma from a recognized educational institution or equivalent education program preferred.
  • Minimum 3 years of recent and related experience (working in a teaching/health environment preferred).
  • Proficiency with medical terminology preferred.
  • Proficient in Microsoft Word, Excel, Power Point, Outlook.
  • Strong work ethic; positive, client focused attitude; superior professionalism; dependability and reliability; demonstrated commitment to providing outstanding customer service.
  • Superior written/oral communication and presentation skills; excellent interpersonal and relationship building skills; ability to effectively convey factual information and detailed explanations.
  • Excellent time management, organizational and self planning skills displaying flexibility by adjusting work schedules according to changing priorities, meeting demanding deadlines and producing high quality work.
  • Demonstrated ability to make decisions, exercise good judgment, discretion and initiative when dealing with confidential information and/or in responding to inquiries.
  • Demonstrated satisfactory work performance and attendance record.
  • Additional language skills in Hindi/Punjabi are an asset
