Job Description

The Medical Receptionist is part of a team which enables the organization to meet its goals in the provision of equally-accessible, high-quality, client-centered care to all citizens who require it. Recognizing and responding to cultural and ethnic differences and to the special needs of individuals by: providing clerical, reception and/or administrative support to the organization; assisting in the quality of care through the management of accurate records; ensuring the accurate recording and retrieval of electronic data and assisting with the communication of information.

The EWFHT believes that all team members are able and furthermore, responsible, for demonstrating leadership qualities and attributes within their individual roles, regardless of what position they hold on the team.

MAIN RESPONSIBILITIES AND POSITION OBJECTIVES:



Answer main, multi-line phone, responding to patient needs as appropriate Scheduling patient appointments, using the Electronic Medical Record scheduler; manage appointment schedule, considering time needed for appointment and resources available Greet and register incoming patients in a courteous and professional manner, conscious of representing the East Wellington Family Health Team to the public Liaising with patients and physicians in processing referrals of patients to outgoing resources, including but not limited to, specialists, community resources, diagnostic facilities Scan and download documents into the Electronic Medical Record system daily Process fee-for-service payments, using debit or credit machines, or receiving cash, following organizational procedures Maintain up-to-date patient information, particularly demographics at every patient visit Perform general office duties such as filing, faxing and photocopying Manage incoming and outgoing mail, including courier services Keep up-to-date with knowledge of the organization's services in order to respond to public inquiries Perform Lab and hospital downloads daily Maintain Portal Web based Hospital downloads Process electronic fax to file documents

ADDITIONAL RESPONSIBILITIES:



As needed, show patients to examination rooms and prepare them for the physician

Active involvement in team meetings and ad hoc committees as required Provide input as requested for the development of organizational quality improvement initiatives. Identify and participate in educational programs to enhance self and career development Review and adhere to all policies, in accordance with the EWFHT's Personnel Policy Manual Contribute to the development of the EWFHT's Administrative Procedures Manual Identifies, recommends, and facilitates implementation of change to improve patient service and clinic operation within the scope of administrative responsibility Other duties as assigned Willingness and ability to work in both Erin and Rockwood clinics, evenings and Acute care Saturday Clinics

EDUCATION, EXPERIENCE AND SKILLS:



Diploma or certificate in a medical secretary/administration program and a minimum of 2 years experience.

Self-directed, demonstrating regular use of initiative

Exceptional interpersonal skills, with the ability to communicate effectively with all levels of the organization

Exceptional organizational skills necessary to appropriately manage multiple demands

Exceptional working knowledge of computer applications including MS Word, Excel and Outlook

Demonstrated ability to respect and maintain information in confidence

Experience with Practice Solutions or other electronic medical record system an asset

Experience in non-profit or healthcare organizations considered an asset

ACCOUNTABILITY:



The Front Desk Administrative Staff reports to the Office Administrator (Barb Thomas) Adheres to the freedom of information and protection of privacy act by exercising reasonable care and caution in protecting confidential and sensitive information of patients, their families, personnel and the organization Contributes to the positive image of the organization and office morale by upholding a positive job attitude; maintaining a safe and healthy work environment; conducting oneself in a professional manner displaying smooth working relations with people inside and outside the organization; demonstrating a willingness to assist others working in a team-centered environment; demonstrating flexibility in accomplishing work assignments; using the most effective and efficient method to deliver services.

Pay: $39,000.00-$40,827.00 per year
