Markham Integrative Medicine is looking for a full-time medical office manager to join our team.
Who we are:
Markham Integrative Medicine was founded by Dr. John Gannage, MD, in 1998. Today, patients come to Dr. Gannage's practice from all across the province and sometimes the country. Integrative medicine as practiced at our clinic is the integration of conventional and complementary and alternative medicine. It involves a focus on the root cause of symptoms/illnesses, and an individualized, whole person approach, with an emphasis on nutrition and detoxification. We see patients both in person and virtually.
Who you are:
We are looking for a sharp, intuitive, motivated people-person who is able to communicate effectively with patients, manage operations, and understand and meet the needs of the practice and the medical director. Strong attention to detail is essential, as is the ability to prioritize tasks throughout the day. Comfort with learning new computer programs is important as we work with multiple platforms on a daily basis.
We're a small team, and because of the integrative nature of our practice, no two days at MIM are ever quite the same. We're looking for someone who will enjoy the opportunity to problem solve and think on their feet, and do so in a collaborative, team-oriented manner.
We are ideally looking for someone who has earned a diploma in Medical Office Administration or an equivalent program OR with 5+ years of relevant experience and excellent references. However, if you don't meet these requirements but feel that you would be a great fit, we encourage you to apply. Experience with or an interest in integrative medicine is an asset.
Your tasks and responsibilities will include:
Managing integrative medical office including operations, scheduling, and patient communications
Taking on supervision of daily clinic operations; ensuring smooth workflows and a consistent patient experience; identifying and implementing improvements to processes; implementing new systems as needed
Assisting patients with questions and concerns; greeting patients in the clinic; communicating by phone, email, EMR portal, and in person
Handling sensitive and/or complex patient issues with professionalism and care
Coordinating with external partners including marketing team, supplement vendors, and bookkeepers
Co-managing supplement inventory; keeping online dispensary updated; ordering medical and office supplies
Assisting with hiring, onboarding, and training new administrative staff and team members as needed
Encouraging patient engagement with appropriate services or follow-ups
Processing payments; processing supplement orders; reconciling daily billing totals
Maintaining accurate records; ensuring that (digital) files are properly organized
Supporting strategic growth and expansion of services as needed
Helping out and getting involved where needed! This is an exciting opportunity to be part of, and grow with, a small team. Your role may evolve with the needs of the clinic, and you will have many chances to learn new things.
This position involves daytime hours, Mondays through Fridays.
