JOB TITLE : MEDICAL OFFICE ASSISTANT FOR SPECIALIST (INTERNAL MEDICINE)
Overview:
The Medical Office Assistant at Asperia Medical Walk-In and Family Practice plays a crucial role in ensuring the smooth operation of the clinic, providing exceptional patient service, and supporting healthcare providers. This position demands excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently in a dynamic fast paced environment.
Responsibilities:
Patient Reception and Check-In:
Welcome patients and visitors with a friendly and professional demeanor.
Confirm patient information and complete necessary paperwork accurately.
Efficiently manage appointment scheduling and the clinic's calendar.
Verify Alberta Health Care Coverage for all patients.
Patient Records Maintenance:
Keep electronic health records (EHR) up-to-date and accurate.
Create new patient charts for New patients.
Handle patient information with confidentiality and comply with health information act regulations.
Supporting Healthcare Providers:
Register patients upon arrival and follow up with those who haven't checked in at their appointment time.
Assist doctors and nurses by rooming patients and taking vitals (e.g., blood pressure, temperature, weight).
Ensure examination rooms are clean and sanitized between patient visits, well-stocked, and organized.
Patient Communication :
Respond to phone calls and inquiries from patients, caregivers, and healthcare professionals promptly and courteously.
Relay clinical-related questions or concerns from patients to the appropriate physician or nurse.
Confirmation and monitoring of online bookings.
Billing :
Process patient payments and prepare invoices.
Ensure all health cards are verified upon checking in.
Administrative Tasks:
Handle administrative duties such as indexing, filing, faxing, scanning, printing, and copying documents.
Fax consultation letters and diagnostic reports to referring practitioners.
Clinic Operations:
Work with other clinic staff to ensure smooth daily operations.
Maintain cleanliness and organization in the reception area and waiting room.
Participate in staff meetings.
Safety and Compliance:
Follow infection control protocols and ensure a safe environment for patients, staff, and visitors.
Adhere to clinic policies and procedures, including safety regulations and quality standards.
Key Skills:
Proficiency in Medical Terminology:
Essential for understanding patient needs and communicating with healthcare providers.
EHR Management Experience:
Ability to efficiently maintain patient records, update medical histories, and input clinical data. Experience with Healthquest EMR is beneficial.
Effective Communication:
Strong skills in interacting empathetically with patients and their families.
Appointment Scheduling:
Ability to manage a busy calendar, schedule appointments, and coordinate with multiple healthcare providers.
Organizational Skills:
Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
Attention to Detail:
Ensure accuracy in patient records, billing information, and administrative tasks, minimizing errors.
Problem-Solving Abilities:
Address patient inquiries, resolve scheduling conflicts, and handle emergencies calmly and efficiently.
Team Collaboration:
Work effectively with healthcare professionals, administrative staff, and support personnel.
Confidentiality and Compliance:
Maintain patient confidentiality and adhere to healthcare regulations.

Requirements:
- High school diploma or equivalent; certification as a Medical Office Assistant is a plus
