We are seeking a detail-oriented and compassionate Medical Office Assistant/Surgical Coordinator to be a foundational component of the team at our new clinic, Waterloo Region Retina Institute. The ideal candidate will provide exceptional administrative support within a busy ophthalmology practice, ensuring smooth daily operations. This role involves managing patient interactions, maintaining electronic medical records, and supporting clinical staff to deliver high-quality patient care. Prior experience in a medical office settings is preferred, along with proficiency in office management systems. Start date flexible for training in December 2025.
Responsibilities
Scheduling and coordinating surgeries with patients and the hospital, ensuring proper peri-operative processes are followed, and relaying basic pre- and post-operative care instructions
Optimize and manage clinic bookings and doctors' schedules, including: Intake of patient referrals, scheduling, and communicating appointments to patients and referring providers
Answering patient and referring provider phone calls
Preparing patient forms, documentation, and invoices
Support technicians and doctors with clinic flow involving lane loading, intake and working up patients, and diagnostic testing as needed

Experience working in the ophthalmic/optometric industry is an asset, but not mandatory
Proficiency in Electronic Medical Records (EMR) systems such as OSCAR and CERNER is an asset, but not mandatory
Post-secondary degree/diploma in business or office administration or related field is an asset, but not mandatory
Proven ability to work proficiently and independently in a fast-paced environment
Demonstrate high quality, compassionate, and patient-centered experience
Strong written and verbal communication skills
Excellent telephone etiquette
Proficiency in technology and computers systems including typing, e-mail, and Excel
Excellent attendance and employment record
Strong understanding of medical terminology an asset

Pay
Range
: $25-$35/hr commensurate on experience.
