The Role: As our medical office administrator you will be a key member of the clinical operations team. You will work cross-functionally with our medical director, clinical operations team, medical office administration team and customer support team. You will principally responsible for assisting in the day-to-day clinical support and administration of our network of healthcare practitioners. You will assist with practitioner communications, pharmacy relations, lab retrieval, lab association and lab reconciliation, referral coordination, transfer of patient data and general administration all in a virtual setting. As the medical office administrator you will maintain our exceptional quality of care, patient confidentiality and promote our patient-centric mission of empowering Canadians to take control of their health and well-being.

Key Responsibilities:

  • Work closely with our medical director, and clinical operations team to manage and strategize for the medical pillar at Felix with regards to functionality of our healthcare practitioners
  • Own file management: you will consolidate, update, and maintain electronic files and documents, including labs and referrals
  • Help create and follow a robust system to track lab requisitions, ensuring all results and documentation are received in full. Follow an audit process to review requisitions from prior months and to contact both labs and patients when results for tests ordered are not received
  • Act as the liaison and support between pharmacy and healthcare practitioner communications
  • Schedule healthcare practitioners for daily and overnight lab (dr. lab) responsibility rotations
  • Schedule, manage and support healthcare practitioners with audio/video consultations
  • Perform other related duties and tasks assigned by the clinical operations manager or medical director
  • Work closely with the customer support team
  • Help maintain clinical documentation and update training materials
  • Schedule patients for follow-up appointments
  • Assist with responding to faxes and voicemails from external stakeholders
  • Perform a variety of administrative and data entry tasks to support our lab management processes
  • Assist healthcare practitioners with document management and basic editing, insurance forms
  • Safeguard and protect personal health information
Requirements
  • Must be available to work evenings and weekends
  • Available to work as needed on-call
  • Looking to fill shifts: Wed, Thu, Fri 2pm-10pm PST & Sat, Sun 8am-4pm PST
  • Successful completion of a medical office administration program or equivalent education in a related field
  • Minimum 2 years experience working as a medical office professional
  • Experience working in virtual care
  • Technical aptitude and the ability to learn software and systems quickly, experience working with an EMR
  • Strong organizational skills and meticulous attention to detail
  • Customer service experience considered an asset
  • Exceptional verbal and written communication skills
  • Fluent in english, bilingual in french is considered an asset
