Overview


Ontario Diagnostic Centres (ODC) are seeking multiple dedicated and organized Medical Administrative Assistant to join our growing healthcare team. This role is essential in ensuring the smooth operation of our diagnostic imaging office, providing exceptional support to both patients and healthcare professionals. The ideal candidate will possess strong administrative skills, good team player skills and previous medical office admin experience would be an asset.

oles & Responsibilities:

Greet and register patients in a professional and welcoming manner. Manage incoming phone calls, electronic forms, and faxes; schedule patients for examinations accurately and efficiently. Provide courteous responses to patient inquiries via phone and in-person, ensuring all messages are returned promptly. Optimize patient satisfaction and operational efficiency by coordinating appointment schedules with physicians and technologists. Communicate with referring physician offices in a professional and timely manner. Schedule and confirm appointments, including follow-up on missed or rescheduled visits. Monitor and respond to incoming emails, reports, scans, and faxes. Ensure a high level of patient service through empathetic, respectful communication. Collaborate with internal teams to obtain and provide necessary information for effective patient care. Provide comfort and reassurance to patients by addressing concerns and maintaining a clean, organized reception, change rooms and waiting area. Assist with inventory and equipment maintenance by tracking supply levels and placing timely orders. Maintain strict confidentiality of all patient medical, personal, and financial information in compliance with privacy regulations. Support cleanliness and organization of the clinic, including reception, waiting room, and change rooms. Offer assistance to fellow administrative staff and contribute to a positive team environment. Demonstrate strong interpersonal, communication, and customer service skills. Thrive in a fast-paced and dynamic clinical environment, maintaining attention to detail and professionalism at all times.

Requirements



Previous experience in a medical office setting is preferred. Completion of a Medical Office Administration diploma or equivalent training. Strong understanding of medical terminology to facilitate effective communication within the healthcare environment. Familiarity with handling confidential patient information in compliance with privacy laws (e.g., PHIPA, HIPAA). Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Proficient in using office equipment and phone systems to manage daily operations efficiently. Strong interpersonal skills with a focus on providing outstanding customer service to patients and staff alike. Ability to work collaboratively within a team while also being self-motivated to complete tasks independently. Flexibility to work varied shifts, including occasional evenings or weekends if required. Ability to sit, stand, or walk for extended periods, and occasionally lift or move office supplies.
