The purpose of this position is to provide administrative and secretarial support for the Provincial Stroke Coordinator, Provincial Stroke Steering Committee, Provincial Stroke Navigator, program subcommittees and working groups of the Provincial Organized Stroke Care Program.
Duties will include:
• Assisting the Provincial Stroke Coordinator with personal and committee/work group time management by scheduling appointments, resolving conflicts which arise, and coordinating out-of-province travel arrangements, including flights, hotel accommodations, ground transportation, etc.
• Prepare correspondence, reports, memoranda, letters and other documentation, on a variety of subjects including confidential topics, and derived from a variety of sources, including dictation, recordings, handwritten notes, prepared copy and e-mail, for the coordinator, other divisional staff and committees;
• Assist in the development of presentations utilizing appropriate software e.g. PowerPoint and Presentations software;
• Receive and review incoming correspondence, reports, and other literature and scan for pertinent dates and other relevant information of potential interest to stroke coordinator and other stroke staff;
• Ensure maintenance of administrative and electronic files to permit effective retrieval of information as needed;
• Provide information as appropriate regarding policies, procedures, protocols and services as requested;
• Develop and maintain directories of frequently contacted individuals with the OSCP and the department as well as outside agencies;
• Maintain and operate office equipment relevant to the position, i.e. desktop and laptop computers, data projectors, printers, fax, photocopiers, etc.;
• Prepare and distribute agendas in advance of committee or ad-hoc meetings. Notify participants in advance of meetings and confirm attendance;
• Arrange appropriate meeting requirements (booking of guest speakers, meeting venues, audio-visual equipment, luncheon service, etc.;
• Record and circulate minutes in a timely manner;
• Support the OSCP committees and working groups as assigned;
• Chart review and gathering data for CDPR stroke accurately and timely according to defined data gathering process on a daily basis;
• At the request of the coordinator/staff, carrying out research projects and produce reports e.g. search Internet and other sources for information, determine best way to summarize and present information gathered and produce a report of same;
• Prepare and process payments for the Stroke Program Education Bursary;
• Prepare and process invoices for payments for goods or services purchased by the program;
• Obtain office supplies through central storage or special purchases as required;
• Review and verify program expenditures against financial reports and ensure Coordinator is aware of account balances;
• Coordinate travel itineraries and develop transportation and accommodation bookings as required;
• Supporting and working in collaboration with other administrative support staff of the division to foster a healthy work environment, skill enhancement and problem solving;
• Provide guidance to other administrative support team members including covering duties to support leaves or vacancies as needed;
• Performing other related duties as required.
Minimum Qualifications:
• The successful candidate must have a successful completion of Grade 12 and successful completion of a recognized program of secretarial/office studies considerable related secretarial employment experience.
• Medical language/terminology training/certification.
• Experience in health care setting.
• Must be proficient in the use of word processing, e-mail, presentations, spreadsheets, and Internet.
• Must have a typing speed of 50 wpm.
• Demonstrated ability for accurate minute taking.
• Must have a high degree of proficiency with English composition.
• Must have effective organizational, time management, attention to detail and accuracy, interpersonal and communication skills.
• Ability to work independently and under a demanding workload.
• The successful applicant must have a good previous work and attendance record.
• Additional relevant education and experience will be considered an asset.
Other Qualifications :
• Completion of college diploma or university degree.
Salary Range: $26.41 - $28.71 per hour
Bi-Weekly Hours : 75 Hours Bi-weekly / Monday to Friday / 8am - 4pm / Evenings and Weekends as Required
