Role Overview
We're looking for a detail-oriented, creative multitasker to join our team as a Marketing & Office Coordinator. In this role, you'll be at the heart of our marketing and administrative operations, supporting campaigns, coordinating our social media presence, managing materials, and keeping everything running smoothly behind the scenes. From crafting polished presentations to coordinating tradeshow presence and marketing assets, you'll make sure every detail reflects our brand's professionalism and energy. This is a full time in office role.
Job Duties
Draft, design, edit, and manage marketing collateral such as messaging for brochures, e-newsletters, and more;
Plan, coordinate, and generate social media content across various platforms and services;
Support the distribution of marketing materials to the TAO sales team and help with preparation for trade shows;
Update and maintain product information across marketing portals and databases;
Consolidate, polish, and prepare Google Slide/PowerPoint decks for sales and executive presentations;
Ensure accuracy and consistency of messaging across all accounts, channels, and platforms;
Maintain orders and swag materials for tradeshows, liaising with and sourcing vendors;
Assemble, label, and brand product sample kits for client presentations and trade shows
Monitor and replenish sample inventory, anticipating upcoming needs and events
Coordinate with couriers to ensure timely delivery of packages;
Provide general administrative support, including scheduling, document organization, and event coordination and planning;
Serve as main point of contract for general office inquiries and communications;
Manage supplies, ordering and vendor coordinator to ensure smooth daily operations in the office;
Prepare and distribute internal communications, agendas and meetings notes for company wide announcements and updates;
Support with event planning and internal communications for conference calls, meetings, etc. in office;
Support employee onboarding and offboarding in partnership with HR & IT;
Maintain organized digital files for marketing and office documents;
Help create a welcoming and efficient work environment that reflect our company culture;
Other HR and operational duties as assigned.

You're someone who:
Has 1-3 years of Marketing and/or Administrative experience with a background in marketing;
Has a Diploma or Degree in Marketing or equivalent experience;
Is looking for a place to make an impact and grow in a supportive environment;
Takes pride in getting things done right the first time, with quality and details top of mind;
Thrives in a fast-paced environment and can juggle multiple priorities without breaking a sweat;
Has a keen eye for accuracy and consistency;
Communicates clearly and professionally, both in writing and in person;
Brings creativity and initiative to every project, with a willingness to learn and adapt;
Works well independently but also loves collaborating as part of a close-knit team;
Is tech-savvy and comfortable using Google Suite and Microsoft Office Suite and online marketing tools
Has a keen eye for organization and polishing processes;
Enjoys structure, and finding pathways to efficiency;
Has a positive, can-do attitude and isn't afraid to roll up your sleeves to get the job done;
Is interested in AI and how AI can assist marketing and administration job functions.
Base Compensation:
$55,000 - $65,000
Placement within the range is determined through the interview process and is based on a candidate's knowledge skills and qualifications for the role. Additional opportunities for compensation include, but are not limited to: paid vacation, volunteer days, employer paid benefits, profit sharing and bonus program participation (where applicable).
