Summary:
Reporting to the Director of Digital Transformation, the
Marketing Administrative Assistant
will play a key role in managing marketing-related data and providing administrative support across various initiatives.
The ideal candidate will become well-versed in our marketing materials and databases, ensuring data accuracy, timely reporting, and strong internal coordination. They will assist with campaign coordination, performance tracking, and communication with external partners.
Regular check-ins with the Director will ensure alignment between marketing strategies and data-driven outcomes.

Role and Responsibilities:A. Marketing Support
Manage email marketing campaigns and assist with basic digital design tasks
Maintain up-to-date files and links for all marketing collateral
Provide administrative and marketing support to the Director of Digital Transformation
Cultivate and maintain strong relationships with internal teams and external partners
Attend and contribute to marketing meetings
B. Calendar & Event Coordination
Schedule all calls and events for the CEO in accordance with company policy
Organize post-event follow-up tasks, ensuring each department receives the appropriate data
Complete post-event reports, including partial and final reporting as required
Track sales performance at each stage of events and throughout partnership contracts
C. Data & CRM Management
Perform data entry, CRM updates, and lead sourcing
Extract and organize key data from various sources to support accurate CRM updates and reporting
Maintain up-to-date contact lists and ensure database integrity
Make follow-up or outbound calls as needed to support marketing initiatives
Demonstrate strong written communication skills, including professional email writing and timely follow-ups
D. Webinar Coordination
Organize and coordinate webinars, including scheduling, technical logistics, and post-event follow-up communication
E. General Administrative Support
Provide typing and additional administrative assistance to the Director of Digital Transformation
Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Teams, SharePoint)
Skilled in CRM software and marketing automation tools (Zoho experience is a plus)
Comfortable using OneNote
Typing speed of at least 60 w.p.m.
Must use a PC computer/laptop (Macs not accepted)
Tech-savvy and quick to adapt to new technologies

Basic understanding of email marketing, digital design, and campaign tracking

Pay: $35,000.00-$45,000.00 per year
