Position Summary
Responsible for the collection, analysis and reporting of data for WFS. Principally operating within the Veson IMOS Platform, the incumbent will gather global data on an ongoing basis and ensure management can make optimal decisions with the information. They will also be responsible for database management with the ability to create graphics where required. This role also provides administration support to the Director Operations, Managers Operations (Pacific & Atlantic), and Marine Operators.
Position Responsibilities
Database Management
Collect data for Waterfront global operations from regions and commercial supply chain and enter data into IMOS accurately to develop required KPIs
Ensure data integrity in IMOS \xe2\x80\x93 responsible for conducting inquiries if data does not agree with requirements and following up with key stakeholders Ensure IMOS position book is updated to reflect vessel schedule changes on a daily basis
Ensure Time Charter (TC) fixture notes and commercial contract information is updated
Operations KPI Reporting
Produce high quality quarterly reports working with the Manager, Operations (Pacific & Atlantic), and Director, Operations which can be used by Operations management team to assess performance and to set future goals for global shipping operations
Keep KPIs updated and develop necessary reports in Excel; assist in the development of new KPIs and improve functionality of existing ones in conjunction with team members
Maintain port performance tracking and analysis database
Maintain vessel hire database for Commercial
Maintain tank cleaning performance database
Document Management
Process and pay monthly vessel hire payments. Coordinate any adjustments & error with vessel owners/brokers/operators
Track and analyse bunker and fuel purchases
Maintain and update Operations manual for use on ships
WFS Management System (RC/ISO) Continuous Improvement
Continuously participate in the promotion of further development for our Quality Systems
Actively participate in the achievement of WFS cost and waste reduction.
Actively participate in WFS Management System and together with the Quality and Responsible Care Supervisor, develop a system to improve group participation and involvement
Position Qualifications
Post-secondary education (Bachelor Degree or Diploma or Certificate) in Business or related discipline or 3-5 years of experience in a related field
Advanced skills in Microsoft Word, PowerPoint, and especially Pivot Table function in Excel, in order to develop and maintain quarterly reports and improve reporting capabilities
EXPERIENCE & SKILLS
Ability to accurately gather and enter data into database
Knowledge of the operations of an international shipping company preferred, in order to evaluate the reasonableness of data received
Ability to work under pressure where critical information is required to meet tight deadlines and delays and/or errors can have significant implications
Ability to produce and explain detailed graphs and to make projections based on information received
Strong analytical and interpretive skills
Exceptional organizational skills, attention to detail and accuracy is critical
Works well independently and as a team player
Flexible and able to manage priorities
Assertive, self-starter with the ability to take initiative
Strong communication and inter-personal skills
Quick learner
