Job Brief: We are preferably looking for a Manager of Front Office and Guest Services to manage our front desk on a daily basis and to perform hospitality duties and clerical tasks. The successful candidate should acts as the first point of contact for clients, customers and employees at OTT located at 1123 Leslie Street. The role of this Receptionist is to help our group of companies present its brand in a positive and pleasant way to clients, customers and employees. This position will be Full-Time with Front Desk experience and Fluent in Spoken and Written English. The successful candidate must be self-motivated, organized, detail oriented, caring and a compassionate individual to connect with clients and employees. It is also important that this person possess a positive attitude with professional commitment; and is friendly and out-going in a team oriented environment. Duties Greeting clients (including offering coffee or teas) / VIP customers and booking appointments and answering phones; maintaining the front desk and waiting area; ensuring incoming / returning mails and parcels are recorded and delivered to the receivers on a timely basis. The successful candidate may requires to supervise and coach a junior Receptionist in the future on a daily basis.
Job Duties include:

  • Phone-answering; phone transferring, emailing
  • Customer-greeting, offering coffee / tea making if requested
  • Maintaining Reception area and all meeting rooms in a neat professional level (including signs, brochures display)
  • Record of incoming mails / parcels including returning mails, and ensure incoming mails/parcels are delivered to the receivers in a timely fashion.
  • Make sure all meeting rooms are reserved, booked in a orderly manner and maintained in a professional style
  • Provide assistance for serving food / coffee during VIP clients’ visit
  • May require to maintain the inventory of beverage for the company’s guest
  • Provide and offer all guests / customers / visitors warm welcoming at front desk to a private banking hospitalities level

Qualifications and Skills:
  • 10+ years minimum front desk management experience in a hotel or related industry
  • Preferably fluent in English (both speaking and writing)
  • Excellent communication skills

  • Ability to main confidential records
  • Availability to work during applicable business hours
  • Capable receive on-the-job training
  • Capable of using “Word”, “Excel”, “Outlook”
