The role:

The Manager Finance, People Operations is responsible to ensure the financial reporting, budgeting and forecasting, and analysis responsibilities of the People Operations Department are effectively fulfilled globally. The above will be achieved by working closely with People Operations Department leaders and building strong relationships with Finance partners at Corporate and across the Business Divisions. This position supports the People Operations team in the proactive management of the budget and effectively influences positive operational improvements and change to gain efficiency and accuracy across business divisions, analyzing global spending and identifying alignment opportunities. This role will also be a key leader of the execution of Total Rewards Programs including benefits, annual salary reviews, and short-term and long-term performance rewards and be responsible for accurate recording, reporting, analysis and reconciliation in partnership with our Corporate Finance teams.

What you’ll do:

Department Financial Operations (20%)
  • For all People Operations cost centers:
  • Lead the annual budget and quarterly forecasting process (LE’s)
  • Prepare monthly cost center spend reports – handle variances
  • Supervise and provide regular spend reporting on key initiatives – training, recruiting, etc.
  • Oversee invoice coding by People Operations staff to ensure accuracy
  • Bridge People Operations processes with Payroll and Accounting teams
  • Benefit invoice management oversight to ensure accuracy, including reconciliation coordination with Payroll
Total Reward Program Financial Execution (25%)
  • In partnership with the Total Rewards Team, champion the annual short/long term bonus and annual salary review process:
  • Prepare project plan in October of each year with set deliverable dates, clear accountabilities incorporating improvements from previous cycles
  • Deliverables, roles and responsibilities are clearly defined at the outset of the cycles
  • Lead communication to ensure stakeholders adhere to the “rules” of the process
  • Systems utilized are continuously streamlined to meet stakeholders needs and realize efficiencies and manual spreadsheet work is minimized
  • Provide regular updates to Corporate Finance on accruals and liabilities as necessary
Benefit Financial Management (25%)
  • Assist in evaluating the financial impact of the Company’s benefit programs in both US and Canada.
  • Support the day-to-day processes to ensure they are best in class. Oversee bill payment process to ensure timelines are met.
  • Review monthly reconciliation on Canadian and US benefit plans and identify any process gaps or training issues.
  • Work with Total Rewards Manager to supervise actual plan costs, reporting and planning requirements.
  • Support People Operations Directors in financial analysis required when evaluating changes to plans to support the balance between plan benefits and cost optimization.
  • Responsible for maintaining accurate Worker’s Compensation job classifications and ensuring premiums paid are correctly. Review regularly and ensure current in every jurisdiction in the US & Canada.
HRIS Integration with Finance Systems (10%)
  • Partner with Corporate Finance, IT and the HRIS teams to ensure that Ultipro functionally is optimized and business processes flow seamlessly through the system and across departments with other systems such as TM1 and Concur.
  • Use the HRIS system to leverage automated reporting functionality, provide high level of employee service and promote strong internal controls.
  • Be the go-to person for the entire People Operations team for financial reporting needs and analysis.
Operational Reporting (with support of People Operations Data Analyst) (10%)
  • Monthly headcount reporting – BU/Departmental Budget/LE validation – ensure planning headcount levels and staff changes incorporated accurately and consistently in budgets and LE’s. Oversight of headcount levels and People Operations programs re budgets and LE’s.
  • Produce monthly People Operations dashboard calling out risk areas or areas that require discussion and planning.
  • Provide standardized QBR reporting to BU’s with related dashboards that identify KPI’s.
  • Continue to improve reporting and analysis to drive business decisions.
Special Projects (10%)
  • Support People Operations leadership with financial analysis on special projects (example: business re-organizations) on an ad hoc basis.
  • Lead ongoing operational improvements and documentation ensuring consistency, role clarity and efficiency.
  • Additional duties as assigned.

What you’ll bring:

  • Professional accounting designation
  • 5+ years of related finance experience, proficient in department financial reporting, budgeting, variance analysis, forecasting, and month-end processes
  • Experience with employee benefits in Canada and USA
  • Proven experience successfully leading large projects with multiple stakeholders
  • Proven ability to work across functions, business divisions and geographies – a strong background in a matrix organization is beneficial
  • Excellent oral and written communication skills
  • Sophisticated Microsoft Excel, ability to navigate system reporting
  • Effective business systems thinker and a good understanding of business process knowledge
  • Proven experience working in the detail and translating the big picture to non-financial partners.
