Job Description


Reporting to the Senior Director, Ambulatory Care Services, the Manager of Appointment Services provides leadership to the operations of Appointment Services, Registration, Interpreter Services and Clinic Coordination as well as provides daily support for departmental operational activities. The manager works closely with decision makers in other departments to recommend solutions for organizational-wide client appointments, clinic services and registration and interpreter services activities. Key Responsibilities

  • Responsible for managing the daily activities of the department, as well as driving continuous improvement of the departmental processes
  • Interviews, selects, hires and puts a plan in place to onboard staff, as well as conducts performance appraisals of department staff
  • Monitors various indicators using both the Meditech and Cognos systems
  • Provides direction and support with respect to staffing complement, and manages departmental payroll
  • Facilitates monthly department staff meetings
  • Provides training to staff for the Meditech Admissions, Discharge, Transfer and Community Wide Scheduling Systems, and provides leadership in the use and maintenance of the above modules
  • Assists with the implementation of new Meditech modules and enhancements, and is a key contributor to strategic decision making pertaining to new technology innovations within the domain of appointment services
  • Participates in quality improvement activities and supports the maintenance of a safe and healthy work environment for staff, clients and families.
  • Assists in establishing a safe working environment for all staff and monitoring occupation health and safety issues as appropriate
  • Develops and implements departmental policies and procedures
  • Prepares and manages annual budget
  • Communicates with Medical Affairs and Programs and Services regarding managing yearly physician schedule
  • Provides updates to physicians on status of waitlist for follow up patients
  • Other duties as assigned
Minimum Knowledge, Skills & Abilities
  • Post secondary education with completion of related diploma or degree preferred
  • A minimum of two years supervisory experience
  • Good knowledge of medical terminology
  • Knowledge of Public Hospital Act, Accreditation Standards and appropriate regulations and acts relative to confidentiality and privacy
  • Excellent communication and interpersonal skills, as well as an ability to lead change within and across teams
  • Demonstrated strong leadership skills
  • Computer literate (MS Office, Meditech Information System, Outlook Mail)
  • Self-directed with proven ability to take initiative
