About the role
Are you a proactive problem-solver with a knack for organization and a passion for community drive work? COHO Management is seeking for a full-time Management and Maintenance Coordinator to support the daily operations of our housing co-operatives. This is a dynamic role for someone who thrives in a fast-paced environment, juggling everything from financial reporting to board advising to maintenance coordination and member communications.
You'll be a key liaison between the co-op boards, members and service providers. You will have a vital role in ensuring our clients sites run smoothly and efficiently. What you'll do
As a Management & Maintenance Coordinator, you'll play a key role in supporting the daily operations of housing co-operatives. Your responsibilities will include:
Coordinating property management tasks, including maintenance request and vendor communications
Collection of housing charges (rent) and arrears management
Preparing monthly financial packages, including bank reconciliations, income and cheque registers
Managing accounts payable and receivable, financial reporting and interpreting operating agreements
Attending evening board meetings, AGMs, and budget sessions to present management reports
Overseeing move-ins/move-out processes, marketing vacant units, and maintaining waitlists
Maintaining accurate records, drafting correspondence and meeting minutes
Coordinating annual corporate and government filings
Supervising contractors or staff as directed by co-ops boards
Traveling to client sites across the Lower Mainland as needed
What you bring
Post-secondary Diploma or equivalent combination of training and relevant work experience
At least three (3) years of administrative experience
Basic bookkeeping knowledge and familiarity with accounting principles
Strong written and verbal communication skills
Technological proficiency with MS Office Suites (Word, Excel, PowerPoint and Outlook)
General knowledge of building systems
Experience with or knowledge of housing co-ops is an asset
Experience working with multi-unit residential buildings and effective communication with residents as well as contracted maintenance personnel is an asset

Conditions of Employment
This position often requires flexibility to work outside of regular office hours (i.e. evenings). This position may be based on site in the office of multiple housing co-operatives with frequent activities and trave in and around the lower mainland.
The incumbent must be able to lift and carry up to 25 lbs, as well as have the manual dexterity to type, and file documents. In addition, as required at co-op sites, the incumbent must be able to walk short distances/climb stairs.
