The Opportunity

We're looking for a

Maintenance Coordinator

to join our team. This role is central to how we deliver great service to our clients and tenants. At its core, the job is about receiving and coordinating maintenance requests, documenting projects, and ensuring communication flows clearly between tenants, owners, vendors, and property managers.

But more importantly: this is a growth role. The right person will start with the day-to-day coordination, and over time can grow into larger

project management responsibilities

-- overseeing big-ticket projects like roof replacements, building envelope repairs, and mechanical upgrades.

This is a fantastic role for someone who:

Loves organizing, solving problems, and making things run efficiently. Has curiosity (a keen interest in learning about building science is a big plus, but not mandatory). Wants to grow with a company rather than just show up and "do a job."

Key Responsibilities

Administration & Coordination



Receive and document all maintenance requests. With the assistance of the Property Manager; triage requests, determine urgency, and coordinate appropriate response. Communicate clearly with tenants, owners, and contractors -- documenting all updates. Schedule and coordinate property access in compliance with the Residential Tenancy Act. Maintain and update building information and company wiki (recording shut-off locations, repair histories, etc.). Support property managers and the managing broker with small and large project documentation.

Project Support



Assist with the planning, tracking, and completion of larger capital projects. Review invoices, quotes, and contracts for accuracy. Communicate scope and progress to clients. Learn to spot when external consultants may be needed.

Finance & Recordkeeping



Reconcile maintenance invoices and expenditures. Cross-check invoices against quotes and approvals. Support chargeback processes for tenant-caused damage.

Resident & Vendor Relations



Maintain positive relationships with tenants, owners, and vendors. Build trust with contractors (your communication style should make people wantto pick up when you call).
Qualifications

High school diploma (college/technical education is a plus, but not required). At least 2 years of administrative experience is preferred -- but not mandatory if you show the right aptitude. Strong organizational skills and attention to detail. Excellent verbal and written communication. Comfortable with technology (email, MS Office, Monday.com, Slack, Confluence). Positive attitude, adaptable, and collaborative.

Compensation & Benefits



Base salary:

$48,000-$52,000/year (includes vacation pay)

Performance bonus:

10% commission on project management fees for larger projects

Benefits package:

Job Types: Full-time, Permanent

Pay: $23.00-$25.00 per hour

Expected hours: 40 per week
