We are looking for a reliable and solution-oriented
Maintenance Coordinator
to manage the day-to-day flow of maintenance operations for both rental and condominium properties. In this role, you will organize and track work orders, determine whether tasks should be completed in-house or outsourced, and make sure requests are entered into our software systems. You'll also be responsible for ensuring accurate invoicing to customers, as well as maintaining clear communication to support the smooth and timely completion of all maintenance tasks.
The ideal candidate is organized, a strong communicator, and comfortable managing competing priorities in a fast-paced environment. You will play a key role in ensuring customer satisfaction and preserving the quality of our properties through efficient maintenance coordination.
How you'll move the needle
Coordinate all incoming maintenance requests and determine response strategy.
Assign work orders to internal maintenance staff or third-party contractors.
Coordinate daily schedules and workloads for the maintenance staff.
Prioritize work orders based on urgency, customer needs, and property requirements.
Enter and manage maintenance requests using Jobber and Buildium, depending on client.
Generate and send maintenance-related invoices using QuickBooks Online.
Track completion of maintenance tasks and follow up on outstanding work orders.
Communicate with tenants and property owners regarding status and resolution of requests.
Ensure all work is completed safely, on time, and within budget.
Assist with seasonal maintenance planning and emergency response coordination.
What you need to succeed
Strong organizational and problem-solving skills.
Prior experience coordinating maintenance or working in property management.
Skilled at guiding a team and coordinating daily schedules.
Proficiency in Buildium, Jobber, or similar work order software.
Familiarity with QuickBooks Online for invoice generation.
Clear written and verbal communication skills.
Ability to assess maintenance needs and determine appropriate solutions.
What would give you an edge
Hands-on knowledge of basic building maintenance or trades.
Experience working with rental properties and condominium corporations.
Strong negotiation and vendor management skills.
Knowledge of local contractors and service providers.
Ability to work flexible hours or be on-call for emergencies.
