operates and maintains the Angus L. Macdonald and A. Murray MacKay Bridges, facilitating over 34 million crossings annually. Reporting to the Maintenance Manager, the Maintenance Coordinator will provide vital administrative support and coordination for the operations of the Maintenance Department. This position will operate from 465 Princess Margaret Blvd, Dartmouth, NS. This role involves managing and streamlining activities related to the maintenance and repair of all HHB assets and facilities. The position is responsible for overseeing administrative tasks associated with equipment, machinery, and facility upkeep. Additionally, the Administrative Assistant will play a crucial role in developing and maintaining organizational systems to enhance operational efficiency while ensuring compliance with applicable safety standards. The Maintenance coordinator will build a strong rapport and collaborate with interest-holder, internal department staff, external contractors and consultants.

Essential Duties and Responsibilities



Engage in close collaboration with Maintenance Supervisors, departmental personnel, and third-party consultants to promote the smooth and efficient execution of daily maintenance operations. Work in conjunction with Operations to effectively coordinate the Traffic Interruption Process. Provide comprehensive administrative support for departmental meetings, including weekly traffic control meetings, which involve preparing agendas and documenting minutes. Develop and maintain a systematic tracking and inventory management system. Generate maintenance reports and monitor key metrics to enhance operational efficiency. Work collaboratively with Maintenance supervisors to ensure all work order system action items are properly dispatched and completed. Work closely with the Maintenance Supervisor on the development and maintenance of a fleet-related maintenance tracking system. Assist in the payroll processing for the maintenance department, ensuring accurate time tracking, precise overtime calculations, and strict adherence to payroll deadlines. Assist in Traffic Control Support by applying traffic control principles to plan and schedule maintenance impacting bridge traffic. Prepare, submit, and track Traffic Interruption Notifications (TINs) to ensure accuracy, compliance, and timely delivery. Develop and maintain detailed schedules for closures and lane restrictions, and coordinate with internal and external partners. Draft and circulate closure briefs to government and stakeholders, ensuring clarity and accuracy. Liaison with Communications, PMO, and Engineering to align schedules, messaging, and project needs. Uphold compliance with company policies and regulatory requirements. Perform any additional responsibilities as assigned.

Qualifications



Completion of a post-secondary education in a related field A minimum of 3+ years of relevant experience in an administrative role Excellent written and verbal communication skills Proven ability to operate within a computerized maintenance management program/system with additional experience using MS Office Suite Strong organizational and planning skills Experience developing a scope of activity budget for material and equipment purchases Strong knowledge of equipment, machinery and facilities maintenance (asset) Ability to work independently and as part of a team Demonstrated ability to coordinate and follow up with team members to ensure timely completion of deliverables

Permanent, Full-time, Non-Union, Monday-Friday, 8:00 AM-4:00 PM (35 hours/week). Subject to change based on operational needs, with occasional overtime, including weekends.

Salary range for this position is

$50,178.00 - $62,723.00

per year

This position requires the incumbent to work in an office environment at HHB with minimal physical effort demands. Due to the nature of this position, mental stress may be experienced when responding to conflicting demands and varying needs, dealing with issues and matters that can be complex and time sensitive. Sensory attention is required for coordinating resources, processing documents, and providing status reports and work order summaries.
