Maintenance Coordinator
Location: Albany, PE (On-Site)
Pay Range: $55,000 - $65,000/year
Hours of Work: Fulltime (40 Hours per week)

We are currently seeking a detail-oriented and organized Inventory/Purchasing Clerk to join our dynamic team.



The Maintenance Coordinator is responsible for supporting the efficient operation of the maintenance department through effective management of work orders, scheduling, procurement, and inventory control. This role ensures that all maintenance activities--including corrective and preventive work--are planned, organized, and documented to optimize equipment reliability and facility operations.


Job Functions /Responsibilities:
Work Order Management
Receive, prioritize, and manage all maintenance work orders from initiation through completion.
Ensure work orders are accurately logged, updated, and closed out in the maintenance management system.
Track progress and communicate updates to internal stakeholders.
Manage maintenance scheduling and work order management systems.
2. Maintenance Scheduling
Schedule maintenance activities, including corrective repairs and preventive maintenance tasks, in coordination with maintenance technicians and operations staff.
Monitor workload, technician availability, and equipment downtime to optimize the maintenance schedule.
Adjust schedules as needed to address urgent repairs or operational requirements
3. Preventive Maintenance Administration
Administer and manage the preventive maintenance (PM) program to ensure timely execution of all PM tasks.
Review, update, and optimize preventive maintenance procedures and schedules.
Maintain compliance with equipment maintenance standards and regulatory guidelines.
4. Maintenance Software Management
Administer, update, and maintain the company's Computerized Maintenance Management System (CMMS) or maintenance software.
Ensure accurate data entry, system configuration, user access control, and ongoing system optimization.
Generate and analyze maintenance reports to support decision-making.
Provide training and support to staff on system use and best practices.
5. Technology Research & Implementation
Research new maintenance technologies, tools, and software to support operational improvement.
Evaluate potential solutions for compatibility, efficiency benefits, and cost-effectiveness.
Recommend and assist in implementing new technologies or system enhancements.
6. Purchasing & Procurement
Coordinate general purchases for maintenance materials, tools, supplies, and services.
Source and evaluate vendors to obtain competitive pricing, availability, and quality.
Create and manage purchase orders, ensuring timely delivery of required materials.
7. Inventory Management
Maintain accurate inventory levels for parts, supplies, and consumables used by the maintenance team.
Receive and inspect incoming inventory, ensuring accuracy against purchase orders.
Track inventory usage and adjust stock levels to prevent shortages or overstocking.
8. Parts Sourcing & Receiving
Research, identify, and source parts required for maintenance tasks and equipment repairs and other general purchasing for the company.
Work closely with vendors, suppliers, and equipment manufacturers to confirm part specifications and lead times.
Accurately log received items into the inventory system and coordinate storage or distribution.
9. Vendor Relations
Communicate with suppliers to resolve issues related to delivery times, product quality, and other purchasing-related matters.
Negotiate contracts and pricing with vendors to secure advantageous terms.
10. Coordination
Work closely with the production, shipping, maintenance, sanitation, and quality control teams to ensure inventory levels are aligned with production schedules.
Coordinate with logistics and warehouse staff to manage stock movements and storage.
11. Additional Duties
Maintain documentation and records for maintenance activities, inventory, and purchasing.
Support continuous improvement initiatives within the maintenance department.
Collaborate with technicians, facility staff, and external contractors to resolve maintenance-related issues.
Requirements & Qualifications:
High school diploma or GED required; associate degree or technical certification preferred (e.g., Industrial Maintenance, Engineering Technology, Facilities Management).
2-4 years of experience in maintenance coordination, maintenance planning, facilities management, or a related field.
Experience working with CMMS or maintenance management software required (e.g., Fiix, eMaint, MP2, SAP PM, MaintainX, UpKeep).
Experience in industrial, manufacturing, facilities, or operations environments preferred.
Experience in working with Canadian Food Inspection Agency (CFIA) regulations is an asset.
Strong understanding of maintenance workflows, preventive maintenance practices, and equipment reliability.
Proficient in using maintenance software, scheduling tools, and inventory systems.
Ability to read and interpret equipment manuals, parts diagrams, and work instructions.
Knowledge of basic procurement processes and vendor sourcing.
Frequent walking inside and around the plant is required. Comfortable working in a cold storage environment.
Our workplace is a meat processing facility that is an environment of multi-temperatures and varying levels of humidity. We convert live cattle into Federally Inspected beef products. Please be aware that is a condition of employment to work and visit all areas of the plant including the slaughter processing area, as required.
