We are seeking a highly organized and technically skilled Maintenance Administrator to oversee and coordinate maintenance operations within our property maintenance company. The ideal candidate will be well organized, ensure timely completion of work orders and accuracy of the maintenance software, Order Maintenance requests and schedule appointments for 2 maintenance technicians as required. This role is essential in ensuring the smooth operation of our maintenance schedule, tracking completed work orders, non completed jobs ad billings. The Maintenance Administrator will manage work orders through our system Bluefolder, and collaborate with various departments to optimize maintenance processes.
Duties
Manage maintenance staff schedules
Oversee scheduling and execution of preventive and corrective maintenance activities
Organize new appliance orders for residential properties
Utilize Bluefolder software to track work orders, inventory, and maintenance history
Coordinate projects related to equipment upgrades, repairs, and installations.
Provide and review a weekly report of incomplete maintenance orders with property managers.
Handle direct tenant communications for maintenance requests, notices, letters...etc
Prepare documents in Excel and Microsoft Word and complete data entry where needed.
Answer telephone calls from tenants and contractors and direct calls to the a appropriate person.
Provide support to team members and office relief when needed to ensure operations run smoothly.
Maintenance filling
Assist in processing rental applications, when needed
Receiving, investigating and responding to tenant and owner requests and communicate bu email, phone, and in writing at the direction of the property manager.
Experience
Strong project management skills with the ability to coordinate multiple tasks simultaneously
Basic knowledge of Property Management
Proficient in Microsoft Office and Excel.
Previous experience with Bluefolder is an asset but not expected.
Works well under pressure and within a fast-paced environment
Multi-Task effectively
Excellent communication skills in English for effective collaboration across departments
Quick learner with new software
Computer experience is a must.
