PROFILE SUMMARY



Wesgroup is poised for substantial growth over the next several years and in preparation for this exciting and challenging phase, we are actively seeking a highly engaged, driven and experienced Legal Assistant to join our team.

Reporting to the Associate General Counsel, you will support the Legal Team, with a focus on billing coordination, administrative support and corporate entity management.



KEY ACCOUNTABILITIES



Legal Operations & Billing Support

Open and manage Legal Tracker files for billing purposes. Coordinate with accounting and external law firm billing teams to ensure accurate payment coding. Track legal invoices and ensure timely processing through the accounting system. Process expenses such as professional fees and conference registrations.

Administrative & Event Support

Manage subscriptions and renewals for legal resources (e.g., CLEBC, CBABC, BC Paralegals Association). Support internal events such as lunch & learns: manage invites, book rooms, coordinate catering, and assist with PowerPoint presentations. Monitor the Legal Services inbox and triage notices and requests. Prepare document packages for signing and scan finalized documents. Support file and folder organization in accordance with internal project structures (with training).

Corporate Entity & Document Management

Assist with corporate entity management, including drafting annual resolutions and updating minute books using Athennian. Prepare and maintain corporate organization charts. Facilitate third-party access to corporate entity information.

Knowledge Management

Assist with the management of the Wesworld Legal Services intranet page, including maintaining legal templates. Support AI-assisted document review processes as they evolve (training provided).

QUALIFICATIONS, KNOWLEDGE & EXPERIENCE



Completion of an accredited Legal Administrative Assistant program or certificate/diploma in a related field. Experience in a legal environment, particularly billing and file management. Real estate and entity management experience an asset. Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint; Excel and SharePoint are a plus). Familiarity with Athennian and Legal Tracker is a strong asset. Strong organizational skills and attention to detail. Excellent communication (both written and verbal) and interpersonal skills. Proactive with the ability to manage multiple tasks and deadlines independently with minimal supervision. Ability to exercise discretion with confidential and sensitive issues.

EXPECTED COMPENSATION



Annual Base Salary: The expected salary range for this role is $55,000 - $70,000 per annum. Actual offered salary will depend on individual experience, qualifications, geographic location, market conditions for the role, and internal equity.
