Duties and Responsibilities:
  • Order title and off title searches for commercial transaction;
  • Manage responses for off title searches;
  • Subsearch titles and obtain copies of plans and instruments;
  • Order and coordinate corporate/PPSA searches;
  • Look up property and pull PINs, pull documents that affect title, pull PIN maps;
  • Review title search and off-title responses and prepare title and off-title memorandum;
  • Prepare statement of adjustments and closing documents, such as assignments of leases and
contract, undertakings to re-adjust, declaration of possession, undertaking to discharge,Transfer/Deed etc.;
  • Contact title insurer to arrange title insurance for owner/lender policies;
  • Obtain mortgage discharge statements for sale transactions;
  • Obtain mortgage instructions and prepare mortgage documents for occasional residential deal;
  • Draft correspondence and documents on behalf of the instructing lawyer;
  • Prepare and register various title documents including transfers, mortgages, survivorship
applications, discharges etc.;
  • Assist in closings and coordinate flow of funds, including to pay out mortgages, pay agent
commissions, pay tax arrears etc.;
  • Draft final reports and preparation of report bookso report book is a reporting letter with tabs,
index, etc.;
  • Prepare accounts;
  • Apply proofreading and editing skills to documents and correspondence;
  • File management and keeping lawyers apprised of matters, including diarizing relevant dates such
as requisition dates, due diligence dates and closing dates;
  • Provide support to real estate lawyers and staff as required and requested.
Requirements:
  • Excellent computer skills including Windows, Microsoft Office, including Word, Excel, Outlook )
  • Various other applications such as DM, Teraview, The Conveyancer;
  • A team player attitude with excellent communication and interpersonal skills;
  • Ability to work independently and with excellent judgment to follow instructions with minimal supervision;
  • Excellent time management and prioritization skills.
