We have an exciting opportunity for a Legal Assistant / Receptionist to perform junior legal administrative tasks as well as general office administrative duties including reception for our southside location. Primary Areas of Practice:



Commercial & Residential Real Estate Litigation Corporate / Business Law

Legal Support Responsibilities:



Document Preparation and Management



Assist in drafting and formatting correspondence, legal documents, contracts, pleadings, and closing documents

Prepare standard forms for real estate transactions (e.g., purchase and sale agreements, transfer documents)

File and organize court documents, corporate records, and real estate materials

Ensure all documents are proofread and meet firm standards for accuracy and formatting

Real Estate Transactions



Assist with preparation of documents for residential and commercial closings

Liaise with realtors, clients, financial institutions, and land registry offices

Prepare reporting letters and closing books for clients

Litigation Support



Assist with drafting court forms and organizing court materials

Manage timelines for court filings and assist with file management for hearings and trials

Arrange for service and filing of legal documents

Corporate Work



Support preparation and maintenance of minute books, resolutions, and corporate filings

Conduct basic corporate searches and filings through applicable online systems

Assist with annual corporate maintenance tasks

Administrative & Reception Responsibilities:



Reception



Greet clients and visitors in a professional and friendly manner

Answer and direct phone calls, take accurate messages, and manage voicemail

Maintain the reception area in a neat and welcoming condition

General Administrative Support



Schedule meetings, book boardrooms, and coordinate meeting logistics

Prepare meeting rooms, including setting up materials, refreshments, and equipment

Photocopying, scanning, binding, and distributing documents as required

Open, sort, and distribute incoming and outgoing mail and courier packages

Order office and kitchen supplies; maintain stock levels and inventory

File, archive, and retrieve documents both digitally and in hard copy

Assist with basic office accounting functions Responsible for doing daily bank runs as needed (e.g., for real estate deals); Must have reliable vehicle

Client Service and Communication



Communicate with clients, law firms, and government agencies professionally and efficiently

Provide prompt responses to internal and external inquiries, escalating as necessary

File Management



Open and close client files in accordance with firm procedures

Maintain organized and up-to-date physical and electronic filing systems

Assist with conflict checks and new client intake forms

Qualifications:



Successful completion of a legal assistant program from a recognized educational institution with a minimum of 2 years related experience OR sufficient years of related experience Understand Alberta Rules of Court and Litigation The capability to prepare routine legal documents without the assistance of a lawyer A strong organizer who consistently keeps files moving forward while juggling priorities within a fast paced, high volume, deadline driven environment High drive and initiative, self-motivated with a can-do and positive mindset Professionalism with a calm diplomatic approach Experience with PCLaw, Acumin, Worldox an asset Friendly, helpful attitude with strong communication and client service skills Strong attention to detail and willingness to assist where needed Organized, punctual, reliable and able to manage multiple tasks Comfortable with routine office housekeeping, including shared space upkeep Commitment to confidentiality and professional conduct Must have a reliable vehicle for bank runs to banks near office
