Aplin has partnered with a prominent global law firm to hire a Legal Administrative Assistant to join their team in Calgary. This is a hybrid role (2 days in office) and it involves supporting lawyers specializing in Commercial Real Estate and Corporate Commercial law across various industries.

Responsibilities:

  • Draft and edit legal documents, forms, and correspondence for purchase, sale, leasing, and financing transactions.
  • Prepare land title instruments and file them with the land titles office.
  • Assist in real estate transactions, including preparing closing documents and facilitating document registration.
  • Communicate professionally with clients, counsel, and stakeholders via phone and written correspondence.
  • Liaise with lenders, brokers, real estate agents, and clients.
  • Manage file openings and closings, including conducting conflict checks.
  • Handle banking tasks and administrative duties such as preparing forms and cheques.
  • Conduct real property, PPSA, and corporate searches.
  • Manage the billing cycle, including timesheet entry and account follow-up.
  • Maintain filing and bring-forward systems, electronic or manual.
  • Coordinate meetings and schedules.
  • Complete electronic and manual filing tasks.
Qualifications:
  • Legal Administrative experience required in Commercial Real Estate, including Alberta Land Titles knowledge.
  • Proficiency in commercial real estate procedures, standard documents, and land title forms.
  • Strong MS Word skills preferred, including advanced word processing.
  • Additional skills in Excel, PowerPoint, FileSite, Nuance, and Elite/Webview are considered an asset.
  • Excellent organizational and time management skills to handle high task volume and competing priorities.
  • Dedicated to exceeding service expectations.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple internal clients and adapt to their needs.
