Responsibilities
Sales:
xefx82xa7 Respond promptly to leasing inquiries, converting leads into scheduled property tours and lease signings.
xefx82xa7 Conduct property tours, showcasing unit features and benefits to prospective tenants.
xefx82xa7 Build and maintain relationships with prospective residents, matching their needs to available units.
xefx82xa7 Follow up with leads to nurture interest and close leasing opportunities.
xefx82xa7 Meet or exceed monthly leasing targets and occupancy goals, tracking performance metrics
Management of Staff:
xefx82xa7 Supervise operational staff working in and around the residential property.
Customer Service Relations:
xefx82xa7 Maintain the highest level of customer service in relation to residents.
xefx82xa7 Communicate effectively with residents and relevant others. Ensure that any areas of concern are addressed promptly and thoroughly.
xefx82xa7 Direct and manage resident functions in such a matter as to win and maintain the respect and goodwill of all residents.
xefx82xa7 Focus on resident retention.
xefx82xa7 Assist and ensure all resident and owner complaints are handled promptly and appropriately.
Administration:
xefx82xa7 Prepare and process documentation related to parking agreements, locker agreements, and key release forms, ensuring all information is accurate and compliant with company policies. Collect payments as needed.
xefx82xa7 Facilitate lease signings with approved applicants prior to move-in, ensuring all necessary documentation is completed, utilities are properly set up, and insurance coverage is verified.
xefx82xa7 Enter insurance details into the resident portal to ensure accurate and up-to-date records.
xefx82xa7 Submit received cheques to the Property Manager for processing at Head Office in a timely manner.
xefx82xa7 Assist with tenant communication regarding outstanding balances, using phone calls, emails, and door-knocking as appropriate to ensure follow-up.
xefx82xa7 Distribute notices and correspondence as required, ensuring timely delivery and compliance with relevant policies.
xefx82xa7 Code and approve invoices from suppliers and contractors.
Building Maintenance:
xefx82xa7 Conduct pre-inspection and inspections of vacant units, note deficiencies and prepare building reports.
xefx82xa7 Schedule maintenance work.
xefx82xa7 Place service calls with contractors. Coordinate contracted work.
xefx82xa7 Conduct weekly / monthly inspections of the common areas of the property and rectify any deficiencies.
xefx82xa7 Take initiative to propose improvements of property management processes or procedures.
Leasing:
xefx82xa7 Provide prospective resident with the rental application link via Property Vista.
xefx82xa7 Collect the First Month, Home Insurance Confirmation and signed parking/lockers forms if it's applicable.
xefx82xa7 Schedule Tenancy Agreement signing appointment with resident(s) have Tenancy Agreement signed by all relevant parties and perform move-in inspection.
xefx82xa7 Notify applicants of the status of their application within two business days of completion.
xefx82xa7 Record all leased units, including vacate date, date leased and move in date.
xefx82xa7 Regularly inspect all vacant units to confirm clean, ready condition as directed by Property Manager.
Qualifications
Qualifications:
Education
  • Minimum High School diploma (Grade 12/13).
  • Preference: College Degree.
  • Requirements: ability to read and write English fluently, the ability to accurately perform intermediate mathematical functions and the ability to understand and perform property management software functions.
Experience
  • Required: A minimum of two years' experience in residential property management or a related field.
