Department Overview

TD Bank Group\'s Enterprise Real Estate (ERE) provides a variety of services to support all TD business units across North America. ERE is responsible for the TD retail and corporate global real estate portfolio, providing real estate strategies and solutions that align with the objectives of the Bank\'s business units, always ensuring that service delivery is timely, cost effective and meets business needs. Job Requirements

Specific Education Requirements

  • University degree or college diploma with a business/accounting focus
  • Ideal candidate will have at least 3 years\' experience in lease administration and lease abstracting preferably within a corporate or retail real estate environment
Other Qualifications/Skills/Experience:

Job Details
  • Preferable 3 years\' relevant experience and ability to administer a moderate portfolio of approximately 50 to 75 leases.
  • Daily analysis and processing of US real estate tax payments in accordance with both due dates and SLA compliance
  • Accurate completion of all Income & Expense surveys and Chapter 91 forms in accordance with various tax auditor requirements and within established TD SLA.
  • Pro-actively track and plan for all tax related critical dates
  • Analyze, investigate, and resolve all taxing issues with US Tax Authorities and/or business partners
  • Pro-actively monitor and run weekly US tax report to investigate possible tax bills missing or other tax type issues to ensure payment is made by due date and to mitigate any fees, charges, and interest charges.
  • Accurately enter assessment data into the tax database (Tririga)
  • Distribution of Assessment Notices and Other Information to Tax Consultant and Business Areas.
  • Track all US tax refunds and assist Senior Leasing Specialist with Altus billings.
  • Build and manage solid, effective working relationships with landlords, tenants, vendors, property owners, customers, business lines and real estate partners for the portfolio of leases managed.
  • Provide detailed analysis, interpret findings, and make recommendations, as required by Transaction Managers, business partners as well as legal as they relate to lease information.
  • Responsible for in depth analysis required in paying monthly rent adjustments and lease related invoices ensuring accuracy, timeliness as well as compliance with lease obligations, SOX requirements and IFRS standards.
  • Detailed analytical knowledge and specific real estate expertise and the understanding of lease language is required in order to audit Landlord operating cost and real estate tax reconciliations. Upon completion of audit, recommend either the acceptance of the calculations or challenge the landlord billings. Work with senior management to negotiate settlement.
  • Track lease compliance cost saving recoveries and opportunities as a result of the audits and related negotiations.
  • Ability to understand and interpret lease language in order to accurately abstract lease documents including both payment and IFRS related data into the ERE database (Tririga), adhering to lease abstraction procedures.
  • Monitor outstanding Landlord reconciliation statements to ensure receipt and Sox compliance.
  • Monitor new branch opening, lease renewal and lease expiry dates to ensure rental payments are accurate and timely thereby reducing potential risk to the bank.
  • Prepare and deliver lease notices upon request from business lines or landlords (consents, defaults, etc.).
  • Under guidance of Manager create and prepare Estoppels and Subordination and Non-disturbance agreements in accordance with lease delivery requirements as well as legal guidelines.
  • Partner with facility management to provide surrender, go dark and other critical lease requirements for lease expirations/terminations.
  • Under guidance of Manager ensure the collection of TI allowances and construction reimbursements in accordance with requirements of the lease.
  • In coordination with facility management and project management resolve open construction violations with landlords as necessary.
  • Work with real estate partners to quickly cure lease related defaults.
  • Interface with both Landlord and Accounts Payable to establish vendor set-up, including attestation on any changes in accordance with audit requirements
  • Maintain proficiency with software applications/programs and/or department specific systems as required (i.e. Word, PowerPoint, Excel, Access, Outlook, Tririga).
  • When handling Leases and sensitive real estate information and initiatives, must maintain discretion in managing correspondence, information, and all matters of confidentiality.
