The Learning Implementation Specialist will be accountable for planning and executing professional, high quality training events for the supported Canada WAM business units, ranging from 10-200 participants. This includes pre-meeting planning, outlining budget requirements and execution. This may include making recommendations on venue, meeting format, food and beverage selection, room selection, decor, meeting flow, speakers, AV requirements and any other required components to ensure meeting efficiencies and consistency of practices.

Identify and implement the reporting and feedback loop for learning programs and work with team to implement. This will require the successful candidate to use reporting tools to monitor the progression for all the training and events.

MAJOR DUTIES & RESPONSIBILITIES:

Program coordination, planning and execution.

Interface with internal partners and L&D colleagues to determine event needs analysis of program and understand event objectives and deliver high quality events

End-to-end process of internal event planning and execution including theme, budget management, catering, activities, entertainment, vendor management, venue booking, set-up, AV coordination and support materials for internal learning events

Implement and support all administration of onboarding and succession learning programs including scheduling, logistics and execution.

Create & manage showflow documents if needed

Ensure budget requirements are defined, described, communicated and approved.

Solicit post event feedback from partners in an effort to improve performance/efficiencies on future projects. Communicate feedback to Director, Learning & Development

Understand best practices and provide innovative event recommendations on location, theme, promotional material, etc.

Lead planning meetings to support the strategy and execution of events

Identify booking or potential booking conflicts with other events within all our businesses

Manage contracts with vendors by loading into BuySmart database

IWDP/WDP, summits, RTMs

Learning & Development Support

Collaborate with BUs and TCs to welcome new hires, assemble materials for onboarding, and enroll in Axonify

Provide reporting and share with L&D colleagues for training events such as onboarding, succession programs and product launches

Manage Axonify engagement program by tracking and issuing gift cards to learners

Source learning content for design team and input content into Articulate if needed

Provide feedback and qualify assessment for learning platform and new courses

Assist with development of learning content by sourcing content, providing feedback on new courses, and writing retention questions for various BUs

Manage invoicing and expenses for T&D area including forecasting, paying invoices, tracking spend split per channel

Physical Effort and Mental Stress:

  • On-site meeting execution and/or site inspections: long hours are experienced and expected while on-site executing meetings. Many hours are spent "on your feet".
  • Travel: train, and car, often times on weekends and overnight.
  • Sensory attention: must present a business like and professional image at all times as appropriate to the situation. For example, if working at a black tie dinner, the coordinator must be able to continue to perform duties of the job while at the same time being dressed appropriately for the situation.
  • Project responsibility and on-site demands can result in high levels of stress: tight time frames, multiple tasks, nervous presenters, demanding guests, long hours and responsibility for many deliverables.
Education & Experience

Knowledge of the meeting planning industry: Hospitality/Hotel knowledge, Travel industry standards, Industry terminology, Destination management companies, Third Party experience including speakers, AV companies, entertainment, decor, contract familiarity and negotiation, Professionalism

1-3 years experience in Financial Services Industry preferred

Minimum of 2-3 years experience in Event Planning/Project Management

Excellent organizational, negotiation, customer service and interpersonal skills

Project management skills

Understanding the adult learning best practices or willingness to participate in upskilling to build adult learning knowledge

Written and Verbal communication skills

Ability to problem solve and "think on your feet;" experience in a service environment is an asset

Proven ability to handle multiple initiatives at one time

Proven ability to support and remain positive during times of change

Proven ability to be flexible, adaptable and resilient in the face of changing conditions and new challenges

Ability to take initiative and assume responsibility when acting on all applicable requests for service and assistance

Ability to properly identify and communicate risk within meeting and conference projects;

Strong team player with a high commitment to quality work and service;

Highly motivated and driven, able to work with minimal supervision, ability to set challenging personal objectives and drive to achieve them, understand performance and behavioral expectations, demonstrate personal awareness to operate within an effective team environment;

Strong knowledge of the MS Suite, Teams and Zoom processes

Fluency in French is considered a strong asset
