Bloom Health Clinic is a thriving multidisciplinary health clinic in the heart of Roncesvalles, downtown Toronto. Our team of dedicated professionals--including Chiropractors, Physiotherapists, Massage Therapists, Osteopaths, Naturopaths, and Nutritionists--works collaboratively to provide exceptional patient care.

We are looking for a proactive and highly organized Lead Clinic Administrator to be the anchor of our front desk team--ensuring smooth daily operations, optimizing practitioner schedules and patient flow, and providing seamless support for both staff and patients. This role will coordinate and support our part-time Clinic Administrators, while remaining non-managerial.

Key Responsibilities:



Front Desk Operations



Greet, check in/out, and support patients in a warm, professional manner Answer phones, emails, and website inquiries promptly Book, reschedule, and confirm appointments in Jane Process payments, handle direct billing, and reconcile end-of-day payments Maintain the reception area's cleanliness, organization, and stock

Scheduling & Coordination



Proactively manage practitioner waitlists and prioritize filling open appointment spots to optimize schedules and patient flow Monitor upcoming schedules to anticipate gaps, conflicts, or issues

Admin Support & Systems



Support onboarding of new part-time Clinic Administrators on front desk processes and systems Support part-time admins Maintain and order front desk and treatment room supplies/stock as needed Track and follow up on patient no-shows, cancellations, and unpaid invoices Collect, upload, and organize intake forms and patient documentation

Client Experience & Customer Service



Ensure a high standard of customer service and patient experience Maintain a welcoming, organized, and professional clinic environment Address patient inquiries or concerns promptly and professionally

Technology & Financial Support



Use and troubleshoot Jane App, Google Workspace, and QuickBooks as part of daily operations Assist with direct billing to insurance providers

Communication & Collaboration



Communicate practitioner updates and schedule changes to the part-time admin team Escalate operational issues, complaints, or policy-related questions

Qualifications & Skills:



1-2 years of administrative experience in a healthcare or clinical setting (preferred but not mandatory) Post-secondary education (completed or in progress) in a relevant field is an asset Experience with Google Workspace (Gmail, Drive, Docs, Sheets, Calendar) Experience with Jane App (valuable asset) Strong problem-solving skills with a proactive, solution-focused mindset Highly organized and detail-oriented with strong multitasking skills Friendly, professional, and patient-focused demeanor Excellent interpersonal and communication skills Self-motivated and collaborative, with a positive attitude Thrives in a fast-paced, dynamic clinic environment Adaptable and quick to adjust to changing priorities or situations
Job Type: Full-time

Pay: $20.00-$24.00 per hour

Expected hours: No less than 40 per week

Work Location: In person
