Real Estate Marketing Manager
to join our scaling organization.

ROLE
ELM is seeking a highly organized and detail-oriented
Law and Admin Clerk
to join our in-house legal and ops team. This role provides comprehensive legal and administrative support across
real estate law, corporate law, employment law, insurance, litigation, and contract administration
.
The successful candidate will play a key role in managing legal trackers and documentation, coordinating with external counsel, and supporting initial contract drafting. This position is ideal for someone who thrives in a fast-paced environment, is comfortable managing multiple priorities, and wants exposure to a broad range of legal issues in a real estate development context.
KEY RESPONSIBILITIES
1. Real Estate Law Support
Track and administer
occupancies and closings
for condominium projects, including maintaining trackers for legal correspondence, Statement of Adjustments (SOAs), deal status, outstanding decisions, and potential litigation.
Support In-House Counsel review
condominium documents
, including disclosure statements and declarations, and coordinate with external counsel.
Liaise with property management teams to support
occupancy coordination
and administration of the
lease-up process
for apartment buildings.
Support monitoring and document management for
receivership proceedings
, ensuring legal records and timelines are current.
2. Contract Drafting & Review
Support In-House Counsel on initial drafts of contracts using company templates, including:
CCDC contracts
(e.g., 5A, 5B);
Development Management (DM) agreements
; and
Agreements of Purchase and Sale
for land and condo unit transactions.
Conduct first-level reviews of incoming contracts and markups from external parties to identify standard vs. non-standard provisions.
Coordinate with in-house counsel and external counsel to facilitate contract revisions, execution, and proper storage in the legal database.
Maintain contract templates and ensure versions are up to date.
Maintain reminder systems for deadlines, including Due Diligence timelines for projects and release of deposits as needed, and upcoming meetings for litigation, etc.
3. Employment & HR Law Administration
Coordinate
recruitment logistics
, including posting job openings (e.g., on Indeed), managing resumes, scheduling interviews, and liaising with recruiters.
Support
HR compliance
by ensuring ESA training and workplace safety requirements are met and documented.
Maintain
HR databases
and trackers, including start/end dates, work anniversaries, vacation schedules, professional development records, and Clockify timekeeping data.
4. Corporate Law Compliance & Administration
Maintain and update
legal entity organizational charts
, including visual org charts and detailed Excel records.
Track and ensure compliance for
business registry filings
, licenses, and certifications (e.g., HCRA, BC Housing, Tarion).
Support the preparation and filing of corporate documents.
5. Insurance Administration
Maintain the
insurance database
, ensuring all policies and documentation are current and properly stored.
Coordinate with internal teams and brokers for
policy renewals
, gathering and organizing required information.
Manage
Certificates of Insurance (COIs)
and liaise with external parties.
Assist with
claims administration
, including collecting information and liaising with counsel on potential legal actions.
6. Litigation Support
Admin of litigation files, including organizing documents, filings, and legal correspondence within
SharePoint
Coordinate sharing of legal positions, evidence, and supporting materials with external counsel.
Track deadlines, court dates, and document submissions to ensure timely compliance.
