As our Senior Case Management and Admin Clerk, you'll play a key role in ensuring that case management systems, client records, and administrative processes within Aya?s Me?n?men Child and Family Services operate seamlessly.
This role offers the unique opportunity to support culturally grounded services that honor Squamish Nation values while meeting the highest standards of care and compliance. You'll help ensure that children and families receive services rooted in trust, respect, and cultural integrity, while maintaining the systems that make that care possible.
What You'll Do
------------------
Maintain, organize, and safeguard all physical and electronic case files across guardianship, resources, and family service teams.
Support case management systems including ICM, MIS, and Mustimuhw by entering, updating, and monitoring case data.
Manage file transfers, archiving, and retrieval requests, ensuring compliance with provincial and Nation standards.
Respond to inquiries and provide support to staff on file management procedures and documentation requirements.
Assist with FOIPA requests and ensure confidentiality and privacy protocols are upheld at all times.
Troubleshoot data entry or recordkeeping issues, ensuring information integrity and consistency across systems.
Support quality assurance and audit processes by maintaining inspection-ready records.
Coordinate incoming and outgoing correspondence, meeting requests, and case documentation.
Liaise with the Ministry of Children and Family Development (MCFD) and other agencies for information sharing and case transfers.
Provide mentorship and guidance to other administrative team members on file procedures and documentation standards.
Participate as a member of the Aya?s Me?n?men Administration and Child and Family Services teams, supporting a culture of respect and collaboration.
What We're Looking For

Completion of Grade 12 required; post-secondary diploma or certificate in Office Administration, Human Services, or related field preferred.
Experience providing administrative and file management support, preferably within a case management or social services setting.
Experience with ICM, MIS, or other case management systems.
Strong organizational skills with a high degree of accuracy and attention to detail.
Proven ability to maintain confidentiality and work with sensitive information.
Excellent communication, time management, and interpersonal skills.
Experience working with Indigenous communities or in culturally grounded environments.

Salary: $ 47,000 - $ 66,000
Candidates are typically offered compensation between the beginning to the midpoint of the range. We are committed to providing a fair and equitable package that reflects the value an individual brings to the organization.
