to support the day-to-day administrative functions of our office and assist in planning and executing events. This dual-role position is ideal for someone who is detail-oriented, thrives in a fast-paced environment, and enjoys working on a variety of tasks from managing office logistics to supporting memorable events.
Key Responsibilities:
Office Coordination (60%)
Serve as the first point of contact for general office inquiries.
Support scheduling, calendar management, and travel arrangements for team members as needed.
Assist with document preparation, data entry, and maintaining digital and physical filing systems.
Support with follow up phone calls to members and exhibitors
Event Support (40%)
Assist in the planning and execution of in-person and virtual events, including conferences, workshops, trade shows, and meetings.
Support event logistics such as booking venues, preparing materials, coordinating registrations, and liaising with suppliers.
Help with on-site event setup, registration, guest services, and tear-down.
Assist in bringing in new vendors.
Track event expenses and support post-event evaluations and reporting.
Qualifications:
1-2 years of experience in an administrative or coordination role (considered a strong asset).
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Comfortable using Microsoft Office, Google Workspace, and event/project management tools.
Ability to work independently and collaboratively with a small team.
Flexibility to occasionally work evenings or weekends during event busy times.
Assets:
Bilingualism (French) is an asset.
Familiarity with CRM and/or event registration platforms.
