The International Education Services (IES) Branch within Alberta Education and Childcare is seeking a motivated and detail-oriented
Administrative Assistant - Junior
to support the Spanish and German Special Language Advisors working in Alberta through international education agreements.
This role is ideal for someone who is organized, adaptable, and able to manage multiple priorities in a fast-paced environment. The IES Branch leads strategic planning, policy development, and implementation related to international education within Alberta's K-12 system and represents Alberta's educational interests both nationally and internationally.
The successful candidate will play a key role in supporting international language and cultural programming by providing high-quality administrative and logistical support.
Key Responsibilities
Administrative & Document Support
Proofread, edit, and format Word documents, memos, and correspondence.
Assist in preparing, producing, and distributing branch documents.
Perform copying, scanning, faxing, filing, and manage digital and physical records.
Budgeting & Data Tracking
Maintain and update Excel spreadsheets, tracking budgets and financial information.
Process and review expense submissions following branch guidelines.
Advisor & Event Support
Provide daily administrative assistance to the Spanish and German Special Language Advisors.
Assist with scheduling, meetings, event coordination, venue bookings, and logistics.
Support the delivery of cultural and language programming.
Communication
Answer and redirect phone calls and emails professionally.
Record and distribute accurate meeting minutes to relevant stakeholders.
General Branch Support
Support other Special Language Advisors as needed.
Assist with general administrative duties and contribute to a collaborative team environment.
Qualifications
Strong proficiency in Microsoft Office Suite, especially Word and Excel.
Excellent written communication skills and high attention to detail.
Strong organizational, time-management, and multitasking abilities.
Ability to work in a multicultural, fast-paced environment with professionalism.
Prior administrative experience is an asset.
Ability to
speak and write in Spanish or German
is considered an advantage (not mandatory).
