Administrative Assistant to join our team. The selected candidate will assist our Office Manager with the firm's operations remotely and at our head office in the Westboro neighbourhood of Ottawa.Responsibilities includeGeneral Office Administration

  • Schedule meetings and take minutes
  • Coordinate incoming and outgoing courier and Canada Post packages & letter mail
  • Docket important client deadlines and reminders
  • Copy, scan, assemble, and distribute documentation
  • Assist with special projects
  • Assist clerks and lawyers with corporate, litigation and general secretarial tasks
  • Book events, courses, and travel accommodations and track travel expenses
Client Intake
  • Manage new leads and facilitate client intake process
  • Answer client/lead phone calls and answer requests for basic information
  • Prepare first drafts of retainer agreements and reporting letters using firm templates
Data Management
  • Maintain lead and client databases, calendaring system, and procedures document
  • Distribute lead and client data as required for internal use
  • Generate matter reports and close matters when indicated by lawyers
  • Manage client information updates
Billing Assistance
  • Monitor the Administration and Payments inbox and action emails accordingly
  • Track client payments and liaise with accounting
  • Send payment thank you emails
  • Process client Trust payments and coordinate with accounting
Qualifications
  • Minimum of 2 years' experience in an administrative position in an office environment
  • Great attention to detail
  • Strong organizational skills and ability to multi-task
  • Excellent oral and written communication skills
  • Team player
  • Ability to work independently and to maintain and meet deadlines
  • Highly proficient in Microsoft Office (Word, Excel, and Outlook)
  • Typing speed of 45-65 WPM or better
  • Legal knowledge, such as prior law firm experience, is considered an asset
  • English language proficiency is essential; French language proficiency is an asset
Compensation
  • $36,000.00/year salary to be reviewed annually
