ROLE



Playing an important part of the mcCallumSather team, the Junior Accounting/Administrative Assistant is a team player and is responsible for accounting and administrative assistance as directed by the Director, Finance and Senior Project Accountant. You may work primarily from either the Kitchener office or the Hamilton Office. However, to maintain team cohesion and collaboration, you'll be required to work at the alternate (non-home base) office one day each week.

This Position Reports to Heather Gordon, Director, Finance mcCallumSather.

RESPONSIBILITIES



Project setup

: Create new project folders, set up project is AJERA, file required documentation

Scheduling

: Update and maintain AJERA scheduler and PCC for non-project time. Assist project managers with project staff scheduling.

Project Accounting Assistance

: Pull reports for financial analysis, resource planning, review reports for errors. Manage Kitchener Project status meetings and take minutes. Assist Senior Project Accountant and project Mangers with invoicing.

Timesheets/expenses

: Training new employees on timesheets and expenses in AJERA. Monitoring timesheet submission and reminding people of timesheet and expense deadlines

Other

: Assist Marketing department by providing financial information for RPFS/FLs

Administration Responsibilities



Keeping the Kitchener office tidy, watering plants, occasionally wiping down surfaces, keeping samples organized Restocking office supplies Managing incoming and outgoing mail, distributing paperwork to staff Onboarding of new Kitchener staff
