We design, build, install, and maintain custom systems and facilities in a variety of exciting environments \xe2\x80\x93 from diesel locomotive shops and wastewater treatment plants to fueling systems and pharmaceutical plants. Your role as the Invoice and Procurement Assistant is to provide support to engineers, tradespeople and office staff by performing tasks involving procurement, shipping, receiving, and invoicing. Reporting to the HR/Finance Manager, you are expected to thrive in a multi-disciplinary team consisting of electrical and mechanical engineers, tradespeople, drafting technician, and administrative staff. The ideal candidate is enthusiastic, self-motivated, and can adapt to a dynamic environment. Responsibilities of the Invoice and Procurement Assistant include:
  • Ordering parts and services as directed, and follow up with accurate notes, ship dates and tracking information
  • Shipping items and ensuring all received deliveries are documented and communicated as per procedure
  • Tracking purchase orders, time and materials, and assisting in the invoicing process
Minimum Qualifications & Requirements: Knowledge and skills:
  • Advanced knowledge of Microsoft Office, particularly Word and Outlook
  • Extremely proficient in Microsoft Excel
  • Excellent written and verbal communication skills
  • Highly organized and self-motivated
  • Previous administrative experience, preferably in an industrial setting, is required
  • A background in industrial trades or warehousing is required
