About the role:
The Inventory Specialist plays a critical role in maintaining compliant and accurate inventory records across all cannabis materials within the processing and manufacturing facility -- including raw materials, work-in-progress (WIP), bulk cannabis, packaging components, and finished goods.
This position ensures every material movement is recorded in accordance with Health Canada's Cannabis Regulations (SOR/2018-144) and Good Production Practices (GPP). The successful candidate will act as the key link between Production, Packaging, Quality Assurance (QA), and Compliance, ensuring traceability from bulk product through to saleable lots. Additionally, the successfully candidate will work closely with our accounting team to ensure inventory records are accurate and up to date, supporting successful audits.
Duties and responsibilities (include and are not limited to):
Inventory Control & Traceability
Maintain real-time and accurate inventory records of all cannabis and non-cannabis materials using the company's
ERP or seed-to-sale system
(e.g., Fishbowl, Ample Organics, or 365 Cannabis).
Track inventory through all
stages of manufacturing
-- including receiving, milling, blending, extraction, packaging, labeling, and finished goods storage.
Conduct
daily, weekly, and monthly cycle counts
as required; reconcile discrepancies and document corrective actions with operating teams.
Ensuring all components are linked to the correct production runs and finished products, and are completed on time
Coordinate with Production to issue and return materials to/from
work orders
, ensuring usage aligns with the
Bill of Materials (BOM)
and batch record documentation.
Compliance & Record Keeping
Ensure all cannabis inventory transactions comply with
Cannabis Regulations
,
GPP
, and
QA protocols
.
Maintain complete, audit-ready records for all product movements -- including receiving, in-process transfers, QA holds/releases, destruction, and returns.
Support
Health Canada inspections
, internal audits, and third-party certifications by providing accurate and traceable inventory documentation.
Assist in preparing and validating
Cannabis Tracking and Licensing System (CTLS)
monthly reports.
Collaborate with QA to ensure inventory status (e.g., Hold/Released/Rejected) is accurately reflected in both physical and digital systems.
Operational Support
Support
production scheduling
by ensuring accurate visibility into material availability and WIP status.
Verify packaging and labeling materials are released and match approved specifications before use.
Monitor and report on
inventory aging
