Inventory Control Coordinator

Job Description

Under the supervision of the Store Manager, the Inventory Coordinator role will oversee all inventory receiving and withdrawal at the Circle Craft Store. Responsible for all consignment sales reporting, as well as reviewing, organizing, and correctly documenting stock levels and variances in actuals vs records. The accuracy of Circle Craft's inventory movement and integrity is the responsibility of this role along with ensuring proper inventory protocols are followed at all times.Duties Include:

  • Engaging with Coop Members, building strong rapport and relationships
  • Receiving all Member products from artists at their dedicated appointment times.
  • Organizing and preparing all Member withdrawals thru appointments and proper paperwork
  • Make sure Members and the store team follow all inventory protocols
  • Prepare mid month and end of month sales reports for artist Members
  • Analyzing and maintaining the integrity of existing collections
  • Locating, recording, and reconciling discrepancies in the inventory system
  • Tracking system method for aging inventory analysis
  • Regular check ins with staff on inventory needs
  • Reaching out to Members when inventory is required or to be withdrawn
  • Recording, ordering, and following up with customers and artists on custom orders
  • Ensuring inventory related reports are accessible and available in the Circle Craft Drive
  • Maintaining proper Circle Craft Inventory google drive information
  • Offer insight on better inventory management policies and procedures.
  • Lead and participate in the in store annual and monthly cycle counts
  • Tasks maintaining cleanliness and organization of the stock room
  • Process all Canada Post shipments to customers and members
  • Answer incoming store calls when not with a Member
  • Support miscellaneous projects that arise around inventory systems
Sales Floor Associate, support. This is during busy periods in store, break coverage and/or when the inventory work is all complete and caught up.
  • Greeting and assisting customers
  • Providing information about Circle Craft, our members, and their work
  • Ringing through sales and efficiently packaging purchases.
  • Maintaining order, aesthetics, and cleanliness of store displays
  • Restocking the sales floor with inventory and supplies
  • Other professional duties as agreed on including opening and closing protocols
Our ideal candidate has experience in using and developing inventory systems, digital literacy (including excel and google sheets spreadsheets), and fluency in written and spoken English.   • Excellent time management, handling different tasks at any given time
  • Very good communication skills both written and verbal
  • Thinking outside the box, constant curiosity within the scope of inventory management
  • Demonstrated experience managing and coordinating resources and projects
  • Ability to maintain accurate inventory documents on the shared drive at all times
  • Ability to construct physical and digital indices and records management systems
  • Physically able to handle a wide range of tiny/large/delicate fine craft objects
  • Proficiency in spreadsheets, reporting, MS Outlook and MS Excel, Google Platform
  • Ability to understand, gain knowledge and appreciate the styles of artist members
  • Ability to work collaboratively and communicate effectively with administration and staff
  • Physically capable of lifting up to 35 lb
