They are looking for an INTERMEDIATE LEGAL ADMINISTRATIVE ASSISTANT (Corporate) to join their diverse and dynamic litigation team. The ideal candidate takes initiative, has strong communication skills, and will be supporting a partner with a Corporate/Commercial Business Law practice and an associate with a practice in Corporate/Commercial and commercial real estate.   • Open and distribute incoming mail within the Corporate Services Department.
  • Prepare annual maintenance documents such as annual reports/returns and annual consent resolutions for British Columbia companies and Federal corporations.
  • Sort returned annual reports/returns and collate them for filing at the corporate registry.
  • Attend to corporate registry filings, including annual reports.
  • Draft standard letters, documents, and routine email correspondence concerning annual maintenance using application software (Word, Outlook, and ALF).
  • Maintain the bring-forward system for tracking important dates and deadlines.
  • Prepare invoices using PC Law accounting software.
  • Perform due diligence searches, including BC Online, Personal Property Registry, LTSA, and other ancillary searches.
  • Scan records and establish virtual minute books for document management.
  • Provide general administrative support for our Corporate Commercial and Real Estate practitioners.
  • Act as second backup for Reception relief in case primary backup is unavailable.
Requirements:
  • At least 3-5 years of experience in corporate and commercial law.
  • Strong written and verbal communication skills.
  • Strong organizational skills with the ability to handle multiple files and meet critical timelines.
  • Attention to detail and the ability to manage all administrative functions of the position proactively.
  • Advanced computer skills, including proficiency in Microsoft Office (Word and Excel).
  • Familiarity with PCLaw and knowledge of BC corporate records, including the ability to review minute books and ALF records, is an asset.
  • Strong interpersonal skills with the ability to work independently and exercise initiative and judgment.
